Administrative Assistant
Responsibilities
- Manage calendars and budgets, including scheduling virtual and in-person meetings, compiling contact lists, preparing agendas and itineraries, ordering supplies, and maintaining organized workflows.
- Oversee complex, high-volume calendars across multiple time zones, fielding meeting requests and scheduling call logistics between internal teams, external partners, talent representatives and senior leadership.
- Interact seamlessly and professionally with high-level executives, showrunners, talent teams, and industry stakeholders.
- Arrange domestic and international travel, including airfare, hotel, ground transportation, and detailed itineraries.
- Manage departmental budgets with accuracy, including tracking, coding, and submitting invoices and accruals.
- Prepare expense reports and work closely with accounting and finance departments.
- Partner with other operations teams including IT, Security, and Facilities.
- Maintain and update calendars and contact lists.
- Assist with talent travel, glam scheduling, itineraries, and day-of logistics for press days.
- Contribute to planning, staffing, and talent/media relations for premieres, press junkets, FYC events, and other publicity events.
- Aid in PR research, trend tracking, and writing press materials as needed.
- Participate in department brainstorms and exposure to PR strategy and campaign development.
- Handle special projects and provide additional departmental assistance as assigned.
Qualifications & Skills
- Bachelor’s degree
- 2+ years of administrative experience
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint), G-Suite, Zoom, Teams, and Slack
- Familiarity with Concur, WorkDay, and PR tools such as Cision, MuckRack, and Critical Mention
- Tech-savvy
- Exceptional written and verbal communication, organizational, and project-management skills
- Solid writing, editing, and proofreading skills for emails, presentations, and other correspondence
- Good judgment and ability to handle confidential information with discretion and professionalism
- Highly detail-oriented with the ability to meet tight deadlines and pivot quickly
- Exceptional multitasking capabilities with an acute attention to detail
- Excellent interpersonal skills with a confident, polished presence
- Resourceful and eager to implement new organizational systems and processes
- Fast learner with a proactive mindset and genuine interest in growing within entertainment publicity and/or events
- Willingness to roll up your sleeves and make sure essential day-to-day executive support needs are met
- Build strong working relationships with administrative partners
- Demonstrates curiosity, initiative, and readiness to take on more, while maintaining focus on key administrative priorities
- Interest in and knowledge of the entertainment industry and PR is preferred
- Willingness to work various events during weekends and evenings as necessary
