About the role
As a Scheduling Specialist II, you will provide services to patients and referring professionals by answering phones, managing faxes, and scheduling appointments. This role serves as a resource to the Scheduling team and a subject matter expert (SME) for other departments. This is a full-time remote position, working 9:00 AM – 5:30 PM CST, with rotating Saturdays.
Responsibilities
- Scheduling Activities (80%)
- Serve as a subject matter expert (SME) within the department
- Answer phones and handle calls in a professional and timely manner
- Maintain positive interactions with patients, referring offices, and team members
- Schedule patient examinations according to company policy
- Ensure all appropriate personal, financial, and insurance information is obtained and recorded accurately
- Ensure patient data is entered into information systems completely and accurately
- Advise patients of financial responsibilities, appropriate clothing, preparation kits, transportation, and/or eating prior to appointments
- Communicate scheduling changes to technologists to ensure patient satisfaction
- Maintain an up-to-date and accurate database of referring physicians
- Handle overflow calls for other centers to ensure uninterrupted exam scheduling
- Provide backup coverage for front office team members (e.g., rest breaks, meal breaks, vacations, sick leave)
- Field 1-800 number calls and route them to the appropriate department (St. Louis Park Support Center only)
- Insurance Activities (10%)
- Pre-certify all exams with the patient’s insurance company as required
- Verify insurance for same-day add-ons
- Use knowledge of insurance carriers (e.g., Medicare) and procedures requiring waivers to obtain authorization prior to appointments
- Team Support (5%)
- Function as an internal resource/SME for the team
- Assist in training and onboarding new team members
- Support process improvement initiatives to enhance scheduling accuracy and patient experience
- Other tasks and projects as assigned
Requirements
- High school diploma or equivalent
- One (1) year of medical scheduling and customer service experience
- Two (2) years of demonstrated ability to serve as a resource to others and identify process improvement opportunities
- Proficient in Microsoft Office Suite
- Proficient with computer systems and typing
- Able to handle a multi-line phone system with a high volume of calls
Preferred Qualifications
- Two (2) years of medical scheduling and customer service experience
- Medical terminology and previous clinical business office experience
- Bilingual
