About the role

As a Scheduling Specialist II, you will provide services to patients and referring professionals by answering phones, managing faxes, and scheduling appointments. This role serves as a resource to the Scheduling team and a subject matter expert (SME) for other departments. This is a full-time remote position, working 9:00 AM – 5:30 PM CST, with rotating Saturdays.

Responsibilities

  • Scheduling Activities (80%)
    • Serve as a subject matter expert (SME) within the department
    • Answer phones and handle calls in a professional and timely manner
    • Maintain positive interactions with patients, referring offices, and team members
    • Schedule patient examinations according to company policy
    • Ensure all appropriate personal, financial, and insurance information is obtained and recorded accurately
    • Ensure patient data is entered into information systems completely and accurately
    • Advise patients of financial responsibilities, appropriate clothing, preparation kits, transportation, and/or eating prior to appointments
    • Communicate scheduling changes to technologists to ensure patient satisfaction
    • Maintain an up-to-date and accurate database of referring physicians
    • Handle overflow calls for other centers to ensure uninterrupted exam scheduling
    • Provide backup coverage for front office team members (e.g., rest breaks, meal breaks, vacations, sick leave)
    • Field 1-800 number calls and route them to the appropriate department (St. Louis Park Support Center only)
  • Insurance Activities (10%)
    • Pre-certify all exams with the patient’s insurance company as required
    • Verify insurance for same-day add-ons
    • Use knowledge of insurance carriers (e.g., Medicare) and procedures requiring waivers to obtain authorization prior to appointments
  • Team Support (5%)
    • Function as an internal resource/SME for the team
    • Assist in training and onboarding new team members
    • Support process improvement initiatives to enhance scheduling accuracy and patient experience
  • Other tasks and projects as assigned

Requirements

  • High school diploma or equivalent
  • One (1) year of medical scheduling and customer service experience
  • Two (2) years of demonstrated ability to serve as a resource to others and identify process improvement opportunities
  • Proficient in Microsoft Office Suite
  • Proficient with computer systems and typing
  • Able to handle a multi-line phone system with a high volume of calls

Preferred Qualifications

  • Two (2) years of medical scheduling and customer service experience
  • Medical terminology and previous clinical business office experience
  • Bilingual

Schedule
