About the role
Under the direction of the Regional Patient Access Call Center Manager, the Scheduling Coordinator is responsible for timely and accurate appointment scheduling with expertise in scheduling protocols, registration, insurance requirements/verification, identification of accurate patient responsibility with notification to the patient for the Trinity Health Mid-Atlantic Region which includes: Mercy Fitzgerald, Nazareth Hospital, St. Francis Wilmington and St. Mary Medical Center Langhorne.
Responsibilities
- Ensure all department policies and workflows are enforced.
- Assist Regional manager in monitoring the accuracy of scheduled appointments.
- Ensure accurate timekeeping for team using Kronos.
- Assist with the overall training and updating of workflow for the department.
- Assist manager in monitoring call handling software and real time reports to ensure calls are being answered within SLA guidelines with the ability to make sound business decisions quickly based on the inbound call volume and/or staffing changes.
- Accurately schedule appointments using scheduling protocols and insurance requirements via current HIS (Health Information System).
- Collect and document all required demographic and financial information.
- Appropriately activate pre-registration.
- Complete scheduling of appointment, pre-registration, insurance verification and authorization requirements with collection of out of pocket payments as applicable based on Bronze Standard.
- Analyze patient insurance(s), identify the correct insurance plan, select appropriately from HIS insurance and plan selections and document correct insurance order.
- Apply recurring visit processing according to protocol.
- Screen outpatient visits for medical necessity and issue Advanced Beneficiary Notice as appropriate for Medicare primary outpatients.
- Provide cost estimates.
- Collect and document Medicare Questionnaire and obtain information from the patient if third party payers need to be billed (i.e. worker's compensation, motor vehicle accidents and any other applicable payer).
- Screen all patients self-pay & out of network patients using approved technology.
- Provide information for follow up and referral to the RHM Medicaid Vendor and/or Benefit Advocate as appropriate.
- Initiate payment plans and obtain payment.
- Inform and explain all applicable government and private funding programs and other cash payment plans or discounts to the patient and/or family.
- Incorporate point of service (POS) collection processes into daily functions.
Requirements
- High School Diploma or equivalent.
- Some college preferred.
- Must possess a comprehensive knowledge of multiple scheduling systems and have demonstrated proficiency in complex diagnostic testing appointment scheduling processes with a minimum of five plus (5) years of scheduling experience in an acute care setting.
- Experience in complex facility based ancillary testing across multiple facilities/states.
- Ability to schedule for multiple facilities with significant variants in protocols.
- Strong knowledge of third-party and government payer billing and reimbursement guidelines as well as department performance standards and policies and procedures.
Preferred
NAHAM CHAA or AAHAM CRCS certification.
