Overview
The US Oncology Network is seeking a Scheduler to join the Texas Oncology team at Rockwall. This is a full-time, Monday-Friday position from 8:30am-5pm, excluding weekends, with no call or major holidays. The Scheduler can be at Level 1, 2, or Senior based on experience.
What does the Scheduler do?
- Answers all incoming calls and directs to appropriate personnel.
- Serves as a liaison between patients and medical staff.
- Schedules new patients, patient referrals, and returning patients in the computer system according to physician and office guidelines.
- Cancels or reschedules appointments based on physician schedule changes and notifies relevant clinic personnel.
- Obtains and enters insurance authorizations and correspondence related to referrals into patients' charts or EMRs.
- Collects co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
- Maintains the primary office scheduling template, including physician meetings, satellite schedules, rounding, and call coverage.
- Arranges for patients to receive financial counseling as needed.
- Demonstrates an understanding of patient confidentiality to protect both the patient and the clinic/practice.
- Fulfills administrative tasks such as preparing correspondence, memos, forms, and typing as requested by the supervisor.
- Schedules outpatient appointments/testing/surgeries and hospital admissions upon request.
- Obtains necessary pre-certification as required.
- Communicates with patients about surgeries or tests being scheduled and gathers patient information as needed.
- Schedules post-operative follow-up appointments with physicians where applicable.
- Has a basic understanding of medical terminology for tests and surgical procedures, including coding and the ability to look up specific codes for diagnoses, surgeries, and scheduling procedures.
Qualifications
- High school diploma or equivalent required.
- Entry-level position requiring 0-3 years’ experience in a medical office setting, with medical terminology and scheduling experience preferred.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office (Outlook, Word, Excel).
- Level 2 candidates should have at least 3 years of office experience, preferably in a medical office setting.
- Level Sr candidates should have at least 5 years of office experience, preferably in a medical office setting, with knowledge of medical terminology and coding.
Physical Demands
- Sitting for long periods of time.
- Occasionally lifting files or paper weighing up to 30 pounds.
- Manual dexterity sufficient to operate a keyboard, calculator, telephone, copier, and other office equipment.
- Correctable vision and hearing within normal ranges for telephone contacts.
- Prolonged periods of time viewing and typing on computer screens.
