Overview

The US Oncology Network is seeking a Scheduler to join their team at Texas Oncology's Denton location. This is a full-time, Monday-Friday position from 8:30am-5pm, excluding weekends, with no call or major holidays. The role can be at level 1, 2, or Senior based on experience.

Responsibilities

  • Answers all incoming calls and directs to appropriate personnel.
  • Serves as a liaison between patients and medical staff.
  • Schedules new patients, patient referrals, and returning patients in the computer system according to physician and office guidelines.
  • Obtains and enters insurance authorization and correspondence in patients' charts and EMRs.
  • Collections co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
  • Maintains the primary office scheduling template, including physician meetings, satellite schedules, rounding, and call coverage.
  • Coordinates financial counseling as needed.
  • Demonstrates understanding of patient confidentiality.
  • Fulfills administrative tasks such as preparing correspondence, memos, and forms.
  • Schedules outpatient appointments, testing, surgeries, and hospital admissions upon request.
  • Ensures pre-certification for necessary procedures.
  • Communicates with patients about surgeries or tests being scheduled and potential prep work.
  • Follows up on pre-operative tests to ensure clearance for surgical procedures.
  • Schedules post-operative follow-up appointments with physicians.
  • Has a basic understanding of medical terminology for tests and surgical procedures, including coding and ability to look up codes specific to diagnosis, surgery, and scheduling procedures.

Qualifications

  • High school diploma or equivalent, with 0-3 years’ experience in a medical office setting preferred.
  • Knowledge of medical terminology and scheduling experience preferred.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office (Outlook, Word, Excel).
  • Minimum three years office experience, preferably in a medical office setting for Level 2.
  • Minimum five years office experience, preferably in a medical office setting for Level Sr.
  • Knowledge of medical terminology and coding required for Level Sr.

Physical Demands

The work involves sitting for long periods, stooping, bending, and stretching for files and supplies. Occasional lifting of files or paper weighing up to 30 pounds is required. Manual dexterity is needed to operate office equipment. Vision and hearing must be within normal ranges for telephone contacts. Prolonged periods of viewing and typing on computer screens are necessary.
