About the role

Acts as medical secretary to the medical director, schedules patient care activity in the office, and facilitates the flow of information between physician, patient, and referring physician.

Responsibilities

  • Manages daily patient and physician scheduling using appropriate systems for ordering labs, diagnostic test orders, and scheduling.
  • Provides clerical support to the clinical team.
  • Obtains records, films, etc., in preparation for the daily schedule.
  • Handles assignments of a confidential nature requiring judgment and discretion.
  • Answers telephones and makes daily patient, physician, and other phone calls.
  • Transcribes, distributes, and files correspondence and administrative documents.
  • Coordinates meeting plans and travel arrangements for the physician.
  • Attends and takes minutes for meetings.
  • Opens and sorts mail.
  • Orders supplies as needed.
  • Checks out patients, answers questions, schedules follow-up appointments or testing, and collects co-pays.
  • Verifies referrals and performs pre-certifications as appropriate.
  • Manages and updates patient care policies.
  • Assists with training new schedulers.
  • Maintains cash drawer, reconciles balances, prepares deposits by completing deposit slips, may take deposits to the bank.
  • Batches fee tickets, checks for accuracy and completion, completes batch header documentation, and submits batches to CBO daily.
  • May act as Super User for the Electronic Medical Record.
  • Performs all other duties as assigned.

Qualifications

Education: High School Diploma or equivalent required; Associate’s degree or Medical Secretary Certification preferred.

Experience: 2 years of medical office experience and 1 year of prior scheduling experience required. Administrative or secretarial experience preferred.

Skills

  • Proficiency with copier, fax, telephone system, postage equipment, and computers (Microsoft Outlook, Word, and Excel).
  • Excellent organization and communication skills.
  • Ability to multi-task and maintain confidentiality.
