About the Role

The Scheduler evaluates the facility's ongoing staffing needs and schedules staff in accordance with Per Patient Day (PPD) guidelines. This role maintains an efficient, accurate schedule, updates it to reflect trades, terminations, and leaves of absence, tracks call-offs and late arrivals/early departures, and coordinates with HR and the Director of Nursing (DON) to ensure fair and timely administration of attendance policies.

Responsibilities

  • Schedules staff to accompany residents for medical appointments when necessary.
  • Creates and distributes monthly staffing schedules for Nurses and Certified Nursing Assistants (C.N.A.s).
  • Monitors work schedules to ensure adequate staffing within PPD range and fills open shifts as needed.
  • Works in close partnership with HR, DON, and Administrator to determine placement and orientation schedules for new nursing personnel and notifies appropriate mentors.
  • Maintains ongoing communication with supervisors and other management personnel regarding staffing and scheduling issues.
  • Participates in facility orientation.
  • Responds to employee requests for vacation time and adjusts schedules appropriately.
  • Provides staffing reports to the DON and Administrator to aid in budget preparation.
  • Adheres to patient rights and maintains confidentiality in accordance with HIPAA guidelines.
  • Attends staff meetings and provides in-services as requested.
  • Conducts in-person interviews for staffing.
  • Performs receptionist duties such as answering telephones, filing, and monitoring doors.
  • Attends hiring and staffing meetings with the Nursing Home Administrator (NHA), DON, and HR Business Partner (HRBP) to evaluate staffing needs.
  • Performs other tasks as required.

Requirements

  • One year of experience in long-term care, hospice care, or a healthcare setting.
  • Two years of experience in health record processing and maintenance, preferably in long-term care.
  • Extreme attention to detail.
  • Basic computer knowledge.
  • Manual dexterity required to operate modern office equipment.
  • Ability to travel as needed or assigned.
