About the role
Join our team at El Capitan Canyon Resort, located just 15 minutes north of Santa Barbara or 20 minutes south of Buellton, California. We offer a luxury glamping experience on 300 acres in a stunning natural environment. The Sales Coordinator will work with group inquiries to secure various aspects of their stay, from lodging reservations to meeting space and resort activities, reporting to the Sales Director.
Responsibilities
- Answer phones and direct incoming leads or inquiries to appropriate managers.
- Assist in the preparation and confirmation of client proposals and contracts.
- Handle daily/weekly reporting duties via current resort systems; working knowledge of Delphi preferred.
- Prepare all event documentation and coordinate with sales, resort departments, and customers to ensure consistent, high-level service.
- Recognize opportunities to maximize revenue by upselling and offering enhancements.
- Meet and greet onsite contacts.
- Act as liaison between sales and customers throughout the event process.
- Conduct professional, thorough site inspections of the resort with clients, showcasing key features and benefits.
- Proactively identify operational challenges associated with events and work with the Director and customers to solve them or develop alternative solutions.
- Coordinate banquet and meeting space for assigned groups.
- Maintain clear and consistent communication with the Banquet and Events Manager, keeping both the client and all resort guests’ experience in mind.
- Develop and maintain effective interdepartmental communication among all departments on behalf of the Group Sales Team.
- Assist sales staff in promoting the resort, developing leads, and securing re-bookings.
- Use the property’s computerized sales management system to manage business, including generating reports, entering business, blocking space, and building accounts.
- Perform any other job-related duties as assigned.
Requirements
- 1+ year of direct, related administrative experience; luxury hotel sales, marketing, and/or hotel operations experience is preferred.
- Strong administrative skills, including accurate and timely filing, proofreading and editing documents, managing multiple incoming telephone calls, faxing, mailing, emailing, and creating various business documents.
- Typing skills of at least 50 words per minute.
- Effective verbal and written communication with all levels of team members and guests in an attentive, friendly, courteous, and service-oriented manner.
- Computer proficiency with proven abilities in MS Office (Word, PowerPoint, Excel); prior experience with Delphi is strongly favored.
- Maintain regular attendance in compliance with resort standards, as required by scheduling.
- Maintain high standards of personal appearance and grooming.
- Superior multi-tasking skills and the ability to work well in a fast-paced environment.
