About the role
The Sales Coordinator 1 coordinates day-to-day administrative activities for the assigned area, focusing on the sale and rental of equipment. The role emphasizes alignment with the company’s mission and core business values, collaboration with internal and external resources, and ongoing self-development.
Essential functions include:
- Modeling, promoting, reinforcing, and rewarding consistent use of HOLT’s Values Based Leadership (VBL) tools, models, and processes to ensure alignment with the company’s Vision, Values, and Mission.
- Requiring regular and punctual attendance while working safely and adhering to all applicable safety policies and company standards.
- Performing other related duties and responsibilities as required.
Responsibilities
Sales Coordinator 1 - Machine
- Acts as the primary contact for internal customers regarding Sales, Demos, Loaners, Heavy Rentals, and RPOs.
- Assists and eventually manages logistics from order through delivery, including transport, parts, and service to meet customer requests (e.g., order receiving, equipment sourcing, account setup, and delivery).
- Manages the lifecycle of rentals, including contract management, insurance, customer pricing, machine utilization, service requests, invoicing, and credits using platforms such as Irental, Monday.com, Vision Link, Straight Docs, DSI, and DBS.
- Ensures accurate processing of CAT Commercial in-store credit card sales, authorizations, and credits.
- Schedules delivery and pickup of inventory to maintain appropriate work tool stocking levels by transferring from supply hubs.
- Serves as the process owner for Product Health Loaners via Monday.com, liaising with CAT support representatives, sales management, and internal parts and service departments to ensure maximum reimbursement.
- Issues and receives vendor purchase orders through CODA.
- Answers incoming customer calls via RingCentral, inputs leads in Texada, and transfers requests to other departments.
- Maintains and supports the Retail Customer Experience program, including machine staging, signage, and handling walk-in customer visits.
- Serves as the primary contact for sales and rental asset prioritization through service departments via Monday.com, requiring strong communication and influencing skills to support customer equipment availability needs.
Sales Coordinator 1 - PSD
- Performs purchasing, receiving, and invoicing for CAT and non-CAT products and services for the Power Systems Division (PSD).
- Assists in invoicing prime product for the department.
- Supports the PSD Sales Operations Manager in meeting departmental goals and objectives.
- Coordinates with Caterpillar Factory Representatives and HOLT project engineering/management groups on behalf of the department.
- Completes the CAT engine ordering process, including tracking orders and communicating with CAT Factory Representatives regarding order status.
- Coordinates CAT Engine order acknowledgments with project engineering/management groups to improve communication.
- Processes purchase orders, including tracking, coding, and submitting invoices for payment.
- Acts as a centralized point of contact for purchases on behalf of the Power Systems Division.
- Creates, updates, and maintains project job files and spreadsheets.
- Performs other related administrative duties as assigned by management.
Sales And Yard Operations Coordinator 1
- Verifies and documents all assets arriving and/or departing the equipment yard.
- Accurately stages and preps assets to fulfill incoming requests.
- Loads and unloads assets, conducts inspection procedures, fuels, and reports asset conditions per safety protocols.
- Provides timely updates for all inventory items leaving and/or returning to the yard through the shipping and receiving function.
- Photographs all incoming and outgoing assets and uploads pictures following current processes.
- Troubleshoots, communicates, and problem-solves potential shipping and receiving delays on assets.
- Performs, reconciles, and completes inventory counts of machines and work tools.
Requirements
- High school diploma or equivalent required.
- Up to two years of work-related skill, knowledge, or experience is required.
Skills
- Knowledge of invoicing, receiving, and basic business accounting principles.
- Excellent oral and written communication skills.
- Effective organizational planning, self-management, analytical problem-solving, time management, and multitasking skills.
- Intermediate to advanced Microsoft Office product skills (Word, Excel, PowerPoint, etc.).
- Ability to perform arithmetic operations (addition, subtraction, multiplication, division) using whole numbers, common fractions, and decimals.
- Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Ability to interact with tact and courtesy and maintain a professional manner.
- Ability to read, understand, and interpret written information.
- Ability to listen to and understand information and ideas presented through spoken words and sentences.
- Knowledge of the construction equipment sales industry.
Schedule
- Up to 5% travel expected.
Physical Requirements
- Extended periods in a stationary position; occasional movement inside the office to access office machinery, file cabinets, etc.
- Frequent communication with others; must be able to exchange accurate information.
- Occasional movement of materials or equipment weighing up to 10 lbs.
- Constant movement and use of limbs; requires good manual dexterity, coordination, and stamina.
- Routine reaction to visual, auditory, and other signals, including alarms and instructions; requires visual inspection of work.
Sales Coordinator 1 - Machine
- Extended periods on feet.
- Significant time standing, walking, kneeling, squatting, crawling, bending, and twisting.
Work Environment
- Regularly works indoors in environmentally controlled conditions.
- Regularly works outdoors around moving mechanical parts.
- May be exposed to weather extremes, including inclement weather, heat, cold, and humidity.
- Frequently works at a fast pace with unscheduled interruptions.
- Often assists in familiarizing customers with equipment and work tools outdoors on yards and in display areas.
