Sales Assistant, Receptionist
About the role
The Sales Assistant / Receptionist supports the sales and office operations team at Spanish Broadcasting System (SBS), a leading Hispanic media company in Tampa, Florida. This position serves as the first point of contact for visitors, clients, and callers while also providing administrative support to the sales department.
Key Responsibilities
- Greet and assist clients, visitors, and vendors in a professional and welcoming manner
- Answer and direct incoming phone calls and manage general office inquiries
- Maintain front desk organization and assist with office administrative duties
- Cook up incoming and outgoing mail, packages, and deliveries
- Aid in office supply inventory and ordering
- Support management with scheduling meetings and office coordination
- Provide administrative support to Account Executives and Sales Managers
- Aid with sales order entry, revisions, contracts, invoices, and client documentation
- Cook with Traffic, Promotions, and Billing departments to support campaign execution
- Prepare presentations, proposals, recap materials, and sales reports
- Maintain client databases, calendars, and filing systems
- Aid with promotions, station events, and client hospitality efforts
- Aid in bilingual communication and translation needs for clients and internal teams when needed
- Prepare spreadsheets, reports, and correspondence using Microsoft Office
- Aid with data entry and maintaining accurate records
- Support special projects and additional administrative tasks as assigned
Qualifications
- Bilingual in English and Spanish, both written and verbal
- 1-3 years of receptionist, administrative, or sales support experience
- Strong communication and customer service skills
- Professional phone and front desk etiquette
- Excellent organizational skills and attention to detail
- Ability to multitask and prioritize in a fast-paced environment
- Proficiency in Microsoft Office Suite including Word, Excel, Outlook, and PowerPoint
- Dependable, proactive, and team-oriented
- Valid driver’s license
Preferred
- Experience in media, radio, advertising, or entertainment industries
- Familiarity with WideOrbit, vCreative, or related systems
- Experience supporting sales teams or client accounts
Work Environment & Physical Requirements
This position primarily involves sedentary office work with extended periods of sitting, typing, and phone usage. Occasional standing, walking, and lifting of office materials up to 10 pounds may be required.
