About the role
Under the direct supervision of the Mental Health Assistant Director, the Residential Manager will oversee and maintain the successful operation of a 9–10 bed co-ed community residence serving individuals with severe mental illness. The role requires professionalism, forward-thinking, and serving as a positive role model.
Responsibilities
- Demonstrate problem-solving, multi-tasking, and research skills to resolve program concerns in a timely manner.
- Serve on-call 24/7 for emergent needs, triage, and support; maintain a flexible schedule with availability to deploy to the site as needed.
- Exhibit effectiveness in handling crisis situations, deploying resources, and communicating effectively with required parties.
- Maintain COVID protocols as directed.
- Oversee and implement agency medication protocols; monitor individuals’ awareness and adherence to their prescribed medication regimen.
- Collaborate with the Medication Specialist to ensure OMH medication protocols are followed by staff.
- Conduct mandatory staff meetings at least once per month, preparing a thorough agenda, maintaining minutes, and sign-in sheets.
- Attend monthly Managers’ meetings, arriving timely and prepared to present program updates.
- Develop specific Individual Service Plans, conduct reviews every 90 days, and invite all parties the individual deems necessary to participate in their recovery plan.
- Maintain active target dates on service plans necessary for service delivery.
- Coordinate the implementation of Restorative Service Goals, including staff assignments, data collection, progress notes, and billing requirements.
- Participate in bi-annual Utilization Management Reviews and ensure completion of Recovery self-assessments.
- Work collaboratively with the clinical department (BIS) to complete and oversee ABC sheets and other behavioral tracking mechanisms, ensuring Behavior Plans are successfully implemented.
- Maintain records and submit them according to program due dates.
- Utilize Precision Care for all documentation; run monthly reports on progress notes and address areas of concern with assigned team members.
- Oversee all billing-critical documentation, including service delivery, semi-annual authorization forms, and quarterly team meetings.
- Manage staff schedules, required trainings, and the staff onboarding process.
- Participate in the interview process, document applicant tracking forms, and forward to HR within 24 hours; assist in recruiting new team members as necessary.
- Approve timesheets via PayCom every Sunday for all assigned employees; review and approve your own timecard.
- Participate in the admission/discharge process, including trial visits and 30-day discharge follow-up reports.
- Confidently represent the agency to other service providers and community groups.
- Oversee cooking needs, including healthy menu planning, food shopping/ordering, and meal preparation, incorporating dietary needs of individuals.
- Review and sign off on the weekly menu, making any needed changes before the start of each week.
- Submit weekly food ledgers/receipts, monthly recreational receipts, van logs/receipts, etc.
- Maintain documentation of annual/bi-annual medical appointments (e.g., physical, PPD, psychiatric, psychosocial).
- Conduct routine audits of Precision Care to ensure face sheets are current with diagnosis changes within 24 hours of update.
- Accompany residents on medical appointments using the agency vehicle; assign tasks to residential staff as appropriate.
- Commit to professional development; evaluate staff on an ongoing basis (90 days, annual, or as deemed appropriate).
- Exercise sound judgment at all times.
- Manage a multitude of emails via Microsoft Outlook; perform other duties using Microsoft Suite (Excel, Word, Teams).
- Effectively manage time, organize workspace, and demonstrate proactive planning and prioritization to accomplish responsibilities.
- Organize monthly recreation activities to promote independence, wellness, and community integration.
- Establish and maintain professional, interpersonal relationships; develop constructive and cooperative working relationships.
- Efficiently handle complaints, settle disputes, resolve grievances and conflicts, and offer mediation.
- Provide training, direction, and supervision to full-time, part-time, or on-call Residential Counselors and the Assistant Manager.
- Maintain meticulous records to track attendance, compliance, and outcomes; maintain your own training compliance.
- Coordinate all services for individuals, including linkages to day treatment, therapy, medical, psychiatric, financial, etc., considering the individual’s choice.
- Thoroughly prepare for OMH/OMIG/Internal Management Audits; conduct regular self-audits.
Requirements
- High School Diploma with at least five years of experience working with the mental health population.
- At least one year of experience working within an OMH-funded residential setting.
- A minimum of two years of supervisory experience.
- Graduate from an accredited college or university with a degree in the field of human services preferred.
- Valid NYS Driver’s License.
