Resident Services Associate

FirstService Residential will compensate the successful candidate in the range of $22–24/hr, based on experience, education, and specific job responsibilities. For positions at a client's property, pay may also reflect the client’s directive.

Schedule

Monday – Friday, 11:30 AM – 8:00 PM (hours subject to change to accommodate business needs).

Responsibilities

  • Handle all front-desk operations: telephone, email, clerical tasks, resident interactions, and other assigned duties.
  • Answer customer-service calls and emails from residents; provide assistance and follow up as needed.
  • Understand community guidelines and refer to governing documents.
  • Conduct regular facility inspections for cleanliness and safety.
  • Input and distribute work orders; collect work-order/project proposals as assigned by Management.
  • Inspect the community consistently for violations of community rules; identify, input, distribute, and follow up on violations.
  • Conduct resident verification and complete new-owner orientations.
  • Maintain and use the FirstService Residential Connect system (resident database, community calendars, website, work-order and violation tools, task logs, etc.).
  • Issue and monitor access fobs; maintain access databases.
  • Coordinate resident facility rentals: application processing, event setup, monitoring, inspections, and deposit handling.
  • Accept and process revenue from facility rentals, access-device purchases, etc.
  • Input and coordinate vehicle safelists.
  • Assist owners with general assessment-billing questions, payment options, and ACH setup.
  • Assist in implementing Association-sponsored community events or meetings as needed.
  • Maintain a lost-and-found depository.
  • Issue mass communications to residents or owners as directed by Management.
  • Meet with Management regularly to discuss Board projects or procedural updates.
  • Handle all functions outlined in the procedural manual.
  • Provide general administrative support to Management or perform other general office duties.

Requirements

  • Proficient with Microsoft Outlook, Word, and Excel.
  • Administrative background demonstrating organizational skills and the ability to prioritize tasks.
  • Effective oral and written communication skills.
  • Ability to independently answer and place telephone calls.
  • Clear and effective email communication.
  • Ability to handle multiple tasks concurrently and meet deadlines.
  • Ability to work independently and as part of a team.
  • Excellent customer-service skills.
  • Professional attire and demeanor at all times.

Qualifications

  • Previous experience in front-end customer service in property management, concierge services in hospitality, or similar industries.
  • Certification in CPR and First Aid is desirable.
  • Completion of college-level courses with a concentration in Business, Hospitality, or Management is desirable.

Physical Requirements

  • Must be able to lift 25 lbs.
  • Must be able to sit for extended periods of time.
  • Must have finger dexterity for typing and using a keyboard.
  • Must have verbal ability to communicate effectively.
  • Must have writing ability to formulate correspondence necessary for the job.
  • Must have use of a vehicle, possess a current driver’s license, and state-mandated vehicle insurance with FirstService Residential listed as certificate holder.
  • Must be able to hear to receive telephone calls and voice-mail messages.
  • Must be mobile to move around the office and complete facility and community walkthroughs.
