Resident Relocation Coordinator (Houston, TX)
About the role
The Relocation Coordinator is a key member of the Relocation team, responsible for overseeing daily relocation tasks while working closely with residents to prepare and assist them with all required relocation activities. This position involves regular communication with clients, managing third-party vendors (including cleaners, moving, and pest control companies), and data collection and tracking. A positive attitude and a solutions-based approach are expected when providing relocation services to clients and residents. The Relocation Coordinator represents HOU at company events and helps advance the organization’s mission and reputation. This role is exempt from working from home.
Responsibilities
- Oversee and participate in surveying residents to understand their relocation needs and preferences.
- Convene and participate in resident and community meetings/drop-in sessions to discuss the relocation process, resident rights, and benefits.
- Prepare and distribute notices to affected households regarding the relocation program; ensure proof of resident receipt for required notices.
- Provide relocation counseling and assistance in compliance with applicable Federal, State, and/or local regulations.
- Coordinate information flow between HOU, Property Management, the Client, and residents.
- Provide weekly and monthly reports to the Client, Director, and Development team; maintain relocation files, databases, lottery lists (if needed), and tracking reports.
- Create agendas for weekly Relocation Meetings; take and circulate minutes within 48 hours.
- Notify residents of their move date and provide ongoing support to ensure they are prepared to move.
- Check in with residents at 30 days, 3-, 2-, and 1-week, and 72-, 48-, and 24-hours prior to the move date.
- Assist with arranging moves, including packing/unpacking, utility disconnection/reconnection, and completing change-of-address forms.
- Schedule, coordinate, and supervise moves and associated tasks (e.g., pest inspection, unit turnover).
- Work closely with construction, property management, development, and moving contractors to ensure timely unit vacancies, key turnover, and unit security.
- Establish procedures to minimize resident property damage, including inventorying furniture and documenting with photos/video; serve as the initial point of contact for damage/loss claims.
- Interface with residents’ family, friends, or social services staff to ensure seamless service provision and address relocation obstacles.
- Represent HOU to local, state, and federal agencies, the private housing industry, and community groups.
- Participate in weekly supervision and site meetings with the Assistant Project Manager (APM).
- Ensure relocation files contain required documentation and the data tracking system is updated regularly.
- Complete all tasks identified in the site work plan and perform other duties as assigned.
- Identify and respond to special needs (e.g., outstanding utility balances, poor credit history, criminal backgrounds) and accommodation issues (e.g., handicap-accessible units, roll-in showers, first-floor units).
- Confirm residents with accommodation needs have approved reasonable accommodation paperwork on file.
- Counsel and assist households ineligible for relocation benefits due to immigration status.
- Provide information on local childcare, transportation, social services, and neighborhood amenities to facilitate a successful transition.
- Assist households with school-aged children in the school transfer process.
- Coordinate with the Section 8 Department regarding unit inspections and leasing procedures (if applicable).
- Convene info sessions or provide information on being a good neighbor, Section 8 processes, budgeting, energy conversion, and working with private landlords.
- Assist residents with rent payment and housekeeping requirements by conducting workshops, referring them for financial assistance, etc.
Requirements
- Experience in relocation services, social services, customer service, or similar fields preferred.
- Excellent customer service and interpersonal skills.

- Strong verbal and written communication skills.
