Resident Manager

About the Role

The Resident Manager serves as the caretaker for the assigned property, acting as the public face of the property. This position oversees maintenance, assists residents, promotes properties for rent, executes rental agreements, and collects rent payments. The Resident Manager does not live on-site.

Responsibilities

• Collects rents, prepares three-day notices to pay, processes applications and rental agreements.
• Conducts annual apartment inspections and enforces community policies.
• Prepares deposits and conducts renting activities (keeps vacant apartments clean, shows and markets vacancies, shops competition).
• Schedules turnover work and directs other personnel as needed.
• Prepares correspondence letters to residents or vendors as requested.
• Prepares daily, weekly, and monthly reports (traffic, market data, inventory, vacant apartment status, month-end, delinquent rent, and timesheets).
• Works to obtain and maintain full occupancy.
• Available after hours to respond to emergency situations or immediate maintenance needs.
• Audits processes to ensure compliance with standardized procedures.
• Prepares and audits move-in/move-out paperwork.
• Monitors work orders for cleaning, painting, maintenance, pest control, carpet cleaning, and other vendors needed for apartment turnover.
• Prepares vacant apartments, including dusting, cleaning, and vacuuming.
• Maintains grounds in excellent condition, including common areas, mailbox building, pool area, and dumpster areas.
• Serves as liaison between the company (property managers and maintenance) and residents.
• Negotiates resolutions between tenants while upholding rental agreement rules and regulations.
• Assists in preparing documents for legal proceedings and participates in court hearings; may represent the owner as a witness.
• Ensures the property remains a pleasant living environment for all tenants.
• Handles resident requests for service, complaints, or problems in a timely manner.
• Performs site inspections efficiently.
• Conducts minor unit maintenance (bulb or battery replacement, key and knob replacement), light repairs (plumbing), property policing, light pick-up/cleaning, pool treatment and cleaning, as well as touch-up patching and painting.
• Complies with all applicable state, federal, and local laws related to landlord-tenant and fair housing responsibilities.
• Regular and timely attendance; overtime as required.
• Performs related duties consistent with the scope and intent of the position.

Requirements

• High school diploma or GED; additional education and/or training preferred.
• Experience, training, skills, and knowledge necessary to carry out assignments.
• Ability to read, write, speak, and communicate effectively in English.
• Demonstrated skill in correct grammar, spelling, and usage.
• Proficiency in Microsoft Word and Outlook.
• Ability to establish and maintain effective relationships with co-workers, administrative team, and the public.
• Self-motivated, punctual, detail-oriented, and able to work independently.
• Excellent organizational and interpersonal skills.
• Experience in property management is desired.

• Frequent interruptions; required to meet inflexible deadlines.
• Requires concentration, attention to detail, and high-level organizational and prioritization skills.
• May occasionally deal with distraught or difficult individuals.
• Prolonged sitting and exposure to visual display terminals.
• Dexterity and precision required for computer operation.
• Ability to lift up to 50 pounds.
• Ability to walk, kneel, climb, stand, stoop, crouch, and reach when performing light maintenance and office activities.

Supervisory Responsibilities

Depending on the property, this position may supervise one or more subordinate employees.
