About the role
The program coordinator is a key member of the Residency Program Leadership Team and works collaboratively with Program Director and Associate Program Directors for all administrative, non-clinical functions pertaining to development, planning, and governance of residency/fellowship educational programs. Coordinators require in-depth knowledge of ACGME program requirements and interpret and apply these requirements to the program.
Responsibilities
- Interacts with co-workers, visitors, and other staff consistent with the values of Jefferson.
- Works with Program Directors and Associate Program Directors in the development, planning, and governance of educational programs and oversight of students and residents in program.
- Develop in-depth knowledge of ACGME and Program Requirements, Common Requirements as well as specialty specific requirements, including policies and procedures.
- Manage annual recruitment process for educational programs.
- Proctors and coordinates the In Training Exams.
- Responsible for all Residency/Fellowship Events: Orientation, Graduation, Wellness, Retreats, recruitment events, welcome events. Will develop resident handbooks, graduation commencement books, annual awards, and coordination of event venues.
- Coordinate didactic classes and conference attendance as indicated.
- Responsible for resident, faculty, and program evaluation processes.
- Manage and coordinate all activities related to Program Evaluation Committee, Clinical Competency Committee, and Annual Program Evaluations and other Residency Committees as needed.
- Liaison for program to Finance office for Medicare cost report. Responsible for understanding resident rotations as they relate to Medicare cost report. Responsible for compliance (HR, ACGME) of all outside resident/fellow rotators, including documentation for Medicare cost report. Manage the New Innovations Electronic Residency System which is an evaluatory and tracking system for all resident activity.
- Management/oversight of various software systems for programs: (WebAds), GMETrack; FREIDA, ERAS (Electronic Resident Application System) Recruitment system; Thalamus, NRMP MATCHing system.
Requirements
- Bachelor’s Degree preferably Health Administration, education or business
- 2 years experience as a residency program coordinator in a Graduate Medical Education facility, including high level of specialized software and program accreditation requirements.
- Proficient knowledge of Graduate Medical Education residency program coordination process.
- Proficient knowledge of ACGME Accreditation requirements.
- The coordinator must possess skills in leadership and personnel management appropriate to the complexity of the program.
- High level of understanding of all accreditation and residency software systems.
- Excellent organizational and administrative abilities.
- Excellent communication and interpersonal skills.
- Complete familiarity with computers and database management is required.
- Strong Problem-solving skills.
- Demonstrated ability to teach/mentor other coordinators.
- Discretion and good judgment required due to sensitive nature of confidential material.
Qualifications
- Must have a minimum of 10 education credits completed as defined by TAGME certification process.
