About the role

The Heart Failure Cardiology Fellowship Program Duties (1 fellow), Advanced Electrophysiology Fellowship Duties (3 fellows), and Interventional Cardiology Fellowship Duties (3 fellows) are served by the Program Assistant. The Program Assistant assists with various administrative tasks including maintaining electronic progress logs, compiling information for ACGME site visits, organizing new fellow orientations, and coordinating fellowship activities.

Responsibilities

  • Serves as the primary point of contact for each fellowship program.
  • Maintains electronic progress logs and files on all applicants.
  • Develops and maintains systems to assist faculty with reviewing applicant packets and creating the final match list.
  • Compiles necessary information for ACGME site visits.
  • Maintains filing systems for all fellowship documents and correspondence.
  • Ensures the training program aligns with ABIM, ACGME, NRMP, and LCME guidelines.
  • Coordinates administrative functions such as scheduling interviews, creating itineraries, and managing fellow and faculty evaluations.
  • Manages payroll distributions and prepares annual fellowship budgets.
  • Supports the Chief and Assistant Director in administrative tasks and provides direct back-up support.

Requirements

  • Two year college degree and one year of relevant experience, or combination of education and relevant experience.
  • Proficiency in Microsoft Office applications.
  • Outstanding ability to work under pressure in a busy office environment.
  • Strong interpersonal and telephone skills.
  • Knowledge of standard business formats and ACGME rules and guidelines preferred.

Qualifications

  • Two year college degree and one year of relevant experience, or combination of education and relevant experience.
  • College degree preferred.
  • Proficiency in Word, Excel, PowerPoint, E-mail and Internet.
  • Demonstrated ability to work under pressure in a busy office with frequent interruptions, changing priorities, and short deadlines.
  • Ability to establish and maintain effective working relationships with others.
  • Knowledge of basic office procedures, filing systems, basic math, and the ability to perform mathematical calculations.
  • Strong communication skills, both verbal and written.
