Remote Executive Assistant
Qualifications
Candidates should possess strong Executive Administrative Assistance and Administrative Assistance skills, including calendar and task management. Candidates should possess experience with Executive Support, such as coordinating schedules, meetings, and travel for leadership. Candidates should possess the ability to prepare and reconcile Expense Reports accurately and in a timely manner. Candidates should possess excellent Communication skills, both written and verbal, for internal and external interactions. Strong organizational skills, attention to detail, and the ability to prioritize multiple tasks. Proficiency with office productivity tools (e.g., Google Workspace or Microsoft Office) and comfort with digital collaboration tools. Ability to work independently, maintain discretion, and demonstrate sound judgment in a fast-paced, creative environment. Previous experience supporting executives or teams in fashion, retail, or a creative industry is a plus.
Responsibilities
- Manage the Founder's calendar, schedule meetings, coordinate appointments, and ensure priorities are effectively managed.
- Email & Communication Management: Monitor correspondence, draft professional emails, manage follow-ups, and act as a liaison between the Founder and internal or external stakeholders.
- Project Coordination: Track ongoing projects across all businesses, monitor deadlines, follow up with teams, and ensure timely execution of deliverables.
- Operations Management: Assist in developing, documenting, and maintaining operational systems, SOPs, and internal processes across the businesses.
- Meeting Coordination: Prepare meeting agendas, record action points, and ensure follow-up on outstanding tasks.
- Administrative Management: Organize files, maintain documentation, prepare reports, presentations, and business correspondence.
- Travel & Logistics: Coordinate travel arrangements, accommodation, itineraries, reservations, and event logistics when required.
- Cross-Business Coordination: Work closely with teams and managers across all brands to ensure communication flows efficiently and priorities remain aligned.
- Research & Analysis: Conduct research, gather information, prepare summaries, and support strategic decision-making.
- Confidentiality: Handle sensitive business and personal information with the highest level of discretion and professionalism.
- Problem Solving: Anticipate challenges, identify solutions proactively, and ensure issues are resolved before they impact business operations.
