Key Responsibilities / Essential Functions
- Assigns Release of Information request types primarily to Continuing Care and Disability Determination Services, with cross-training on other request types as supervisor deems appropriate.
- Accesses Release of Information requests and medical records for healthcare clients according to specific procedures and security protocols.
- Completes Release of Information requests daily, prioritizing requests based on turnaround timeframes and procedures of VRC and the service agreement between the healthcare facility and VRC.
- Validates requests and signed patient authorizations for compliance with HIPAA, other applicable federal and state statutes, and established procedures.
- Logs request into ROI software, retrieves and uploads requested portions of the patient’s medical chart, performs Quality Control checks, and ensures accuracy of the release while avoiding breaches of Protected Health Information (PHI).
- Checks for accurate invoicing and adjusts invoice as needed, releases requests to the valid requesting entity, rejects non-HIPAA-compliant or invalid requests, and documents all exceptions, communications, and relevant information in ROI software.
- Alerts supervisor to any questionable or unusual requests or communications, suspected breaches, and issues delaying record release.
- Stores all records and files properly and securely before leaving work area, ensures adequate office supplies are available, and takes on additional healthcare facilities or request types to assist during backlogs.
- Understands that healthcare facility assignments may change, adheres to VRC and healthcare facility policies and procedures, and maintains confidentiality, security, and ethical standards.
- Completes required training within the allotted timeframe, creates invoices and billing materials, and ensures client information is updated.
Requirements
- High School Diploma (GED) required; degree preferred.
- Prior experience with ROI fulfillment preferred.
- Demonstrated attention to detail, ability to prioritize, organize, and meet deadlines, and strong documentation and communication skills.
- Demonstrated ability to maintain productivity and quality performance, basic knowledge of medical records and HIPAA, prior experience with EHR/EMR platforms, Windows environment and Microsoft Office products, and strong computer skills.
- Strong interpersonal skills with team members, clients, and requestors, ability to speak and comprehend English fluently, and prior experience with operations of equipment such as printers, computers, fax machines, scanners, and microfilm reader/printers.
- Detail-oriented, self-motivated, and able to focus on tasks for extended periods of time.
