Registrar Officer I

About the role
The Registrar Officer I is responsible for decision-making processes requiring initiative and judgment related to registrar processing and meeting the needs of students and parents for assigned programs (graduation coordination, athletic certification, veterans’ certification/benefits, and residency certification). This position provides professional expertise regarding Registrar information, processing, and certification of eligibility.
Responsibilities
- Uses discretion and independent judgment to advise and counsel students regarding required forms, application/document processing, eligibility requirements, benefits, acceptance or denial of benefits, etc., for assigned programs.
- Processes, reviews, and evaluates documentation for assigned programs, including applications, transcripts, academic documents, veterans’ forms, pending degree verification, and miscellaneous forms to determine eligibility and/or benefits.
- Images and indexes paperwork and maintains student files and records for assigned programs.
- Uses independent judgment to resolve complex problems for assigned programs.
- Assists in developing and distributing documents, requirements, and general information to students and/or parents for assigned programs.
- Interacts with the Texas Higher Education Coordinating Board, National Student Clearinghouse, Undergraduate Admissions, Graduate Admission, Athletics Office, Advising, Legal Counsel, Financial Aid & Scholarships, and other departments on policies, procedures, and regulations involving student eligibility, benefits, and certification.
- Assists with gathering information and providing reports as needed to appropriate departments (internal and external, including THECB, Veterans Administration, colleges, departments, or documentation for graduation ceremonies).
- Stays abreast of and complies with regulations governing all assigned programs.
- Interprets and maintains knowledge of current federal, state, and institutional policies, procedures, and regulations pertaining to assigned programs.
- Participates in the review and revision of policies and procedures governing assigned programs.
- Performs other duties as assigned.
Requirements
- High School Diploma.
- Three (3) years of related work experience.
- Ability to maintain the security and integrity of UTSA and its infrastructure per Texas EO-GA-48.
Skills
- Strong communication skills.

- Proficiency in Microsoft Office Suite.
Working Conditions
- Office environment.
- Sedentary work; sitting most of the time. Occasional walking or standing may be required. Exerts up to 10 lbs. of force occasionally.
- Ability to travel to and from meetings, training sessions, or other business-related events. Workdays, areas, and hours may vary based on departmental needs.
- This position is primarily on campus. Travel and parking expenses are the employee’s responsibility.
- This position is contingent upon a successful background check. Verification of a valid driver’s license and Motor Vehicle Record (MVR) may be required as applicable.
Pay
Up to $40,320 annualized, commensurate with education, experience, and qualifications.
Schedule
