About the Role

The Regional Office Manager oversees the operation of assigned offices, including Los Angeles, Orange County, San Diego, San Francisco, Napa, Seattle, and Las Vegas. This position combines People Management and Office Management functions, reporting to the CHRO with a dotted line to the Partner-In-Charge of each office.

Responsibilities

People Management

  • Supervises office support staff, including paralegals, legal assistants, and secretaries.
  • Manages secretarial and paralegal workload and team assignments in collaboration with the Partner-In-Charge.
  • Learns the needs and personalities of attorneys to appropriately assign staff and resolve issues.
  • Recruits, screens, coordinates interview schedules, and hires employees.
  • Acts as liaison with Human Resources regarding compensation.
  • Prepares new workstations/offices for new hires, including computer setup and nameplates.
  • Coordinates and delivers training and orientation for new hires, including office procedures and equipment.
  • Introduces newly hired staff to other employees.
  • Monitors and approves time through the timekeeping system.
  • Considers requests for overtime.
  • Administers periodic performance reviews with staff and delivers annual reviews.
  • Ensures Firm policies are fairly and equitably administered.
  • Delivers discipline and coordinates discharges, if necessary, with Human Resources.
  • Investigates and resolves employee relations concerns, partnering with Human Resources.
  • Transitions departing employees out of the firm, completing exit interviews, reassigning work, and collecting equipment.
  • Partners with attorneys and CHRO to create a positive work environment.
  • Identifies opportunities to enhance team culture and provides individual recognition.
  • Plans and organizes office meetings and parties, including monthly staff meetings, annual summer events, and holiday parties.

Office Management

  • Collaborates with the Office Management team to develop procedures for day-to-day operations.
  • Develops consistent best practices for legal support teams across offices to align with firm-wide standards.
  • Reviews office purchases to ensure adherence to budget and escalates as needed.
  • Ensures maintenance of office copy machines, performance of large photocopying and scanning projects, and operation of video equipment.
  • Maintains movement of general office furniture and rearranges furniture in offices and work areas as requested.
  • Sets up offices for attorneys, paralegals, and other staff.
  • Ensures general upkeep of shared office facilities such as halls, reception areas, employee break rooms, and conference rooms.
  • Acts as a project manager as needed.
  • Develops and maintains professional business relations with property management.
  • Manages maintenance requests as needed.
  • Prepares and communicates management responses for potential emergencies.
  • Liaises between back-office support functions (e.g., Accounting, IT) and assigned offices.
  • Assists IT team with equipment installations and other onsite IT needs.
  • Provides assistance for special projects involving firm operations.

Requirements

  • 3 to 5 years of progressively responsible work experience with legal or other professional service organizations.
  • 1 to 2 years’ legal assistant or paralegal experience preferred.
  • Thorough understanding of administration, facilities management, and human resources.
  • Strong MS Office Suite skills.
  • Knowledge of law firm systems and programs used by staff.
