Key Responsibilities
- Directly supervise team of Office Administrators/staff for a regional group of firm offices ensuring consistency with firm policies, procedures, and service standards.
- Oversee day-to-day administrative and operational functions for primary office, ensuring consistency with firm policies, procedures, and service standards.
- Maintain strong working relationships with Region Managing Partner and Regional Managing Partners to support office and firm priorities.
- Serve as the primary communication link between regional offices and national leadership. Provide regular updates, reports, and insights on office performance and operational trends.
- Supervise and mentor Office Administrators and administrative staff within the region. Support hiring, onboarding, performance management, and professional development.
- Manage annual performance and compensation process for direct reports and support staff.
- Partner with the Director of Office Administration to implement firm-wide initiatives, operational strategies, and process improvements across regional offices.
- Manage regional office budgets, monitor expenses, and identify cost-saving opportunities while maintaining service quality and operational effectiveness.
- Oversee office space planning, facilities management, and vendor relationships to ensure safe, efficient, and well-maintained work environments.
- Ensure adherence to firm policies, legal and regulatory requirements, and industry best practices across all offices in the region.
- Collaborate with IT and other departments to ensure consistent technology implementation, support, and adoption across offices.
- Promote a culture of high-quality client service, ensuring administrative functions support the firm’s client-facing goals.
Qualifications
- Bachelor’s degree required; advanced degree or relevant certification preferred.
- 5+ years of administrative or operations management experience, preferably within a law firm or professional services environment.
- Proven experience managing multiple locations or teams across a region.
- Financial insight and experience managing budgets.
- Strong leadership and ability to manage and develop Office Administrators across multiple offices.
- Excellent organizational skills with the ability to manage competing priorities in a fast-paced environment.
- Strong communication and relationship-building skills with attorneys, staff, and firm leadership.
- Sound judgment, problem-solving ability, and capacity for independent decision-making.
- Ability to drive change and implement firm-wide initiatives.
- Professionalism, discretion, and ability to handle confidential information.
- Proficiency with standard business and office technology systems.
