Essential Functions
- Oversee portfolio operations and ensure consistency and quality standards across all sites.
- Implement and monitor company initiatives, policies, and systems, ensuring consistent adoption and follow-through at each property.
- Implement and maintain Standard Operating Procedures at the property level to enhance efficiency.
- Identify and standardize process improvements at the property level, adapting portfolio-wide standards to site-specific needs.
Financial Oversight
- Collaborate with Director and leadership to develop property budgets.
- Maintain the annual property budget for each site, from preparation through execution.
- Review budgets and monitor ongoing financial performance against plan.
- Improve NOI and profitability at the property level through revenue, expense, and operational initiatives.
- Manage and approve vendor relationships and site-level spending, including purchase orders and contracts.
- Support Director with developing leasing strategy, including renewal increases and occupancy targets, for each property.
Team Leadership
- Directly supervise Property Managers and their staff, including workload, scheduling, and day-to-day direction.
- Coach and mentor managers, providing ongoing and corrective coaching as needed following our standard process.
- Recruit, hire, onboard, and train property-level staff.
- Manage labor across sites, including staffing levels, scheduling, and labor cost control.
- Assess training needs, develop training plans for property teams and conducting training supported by Human Resources.
- Evaluate and manage employee performance, including formal performance reviews and corrective action.
Resident Relations
- Manage resident experience portfolio-wide, including handling escalated complaints and addressing recurring satisfaction themes.
Compliance and Risk Management
- Ensure regulatory compliance and manage operational risk, including Fair Housing, health and safety, and required life-safety inspections (fire systems, elevators, pools).
- Conduct audits and monitor compliance results, following up on findings until resolved.
- Conduct property visits and inspections on a regular cadence.
- Conduct capital inspections to assess capital project status and long-term asset condition.
- Own emergency planning and response for each site, including preparedness plans and incident coordination.
Reporting and Communication
- Monitor, track, and communicate outlined KPIs reflecting overall property performance.
- Communicate organizational priorities to property teams, ensuring alignment with company direction.
- Facilitate cross-team coordination between property teams and corporate departments.
Requirements
- Bachelor's degree.
- Proven experience (5+ years) in property management.
- At least 3 years in a multi-site or supervisory capacity.
- Demonstrated experience owning property-level budgets and driving NOI performance.
- Working knowledge of Fair Housing laws and other applicable federal, state, and local housing regulations.
- Experience with capital planning, capital inspections, or major asset condition assessments.
- Experience developing or executing emergency preparedness and incident response plans.
- Strong knowledge of property management software, lease agreements, and real estate regulations.
- Excellent leadership, communication, and problem-solving skills.
- Ability to travel frequently between properties.
Preferred Skills
- Certified Property Manager (CPM), Accredited Residential Manager (ARM), or similar certification.
- Strong financial acumen and ability to develop and manage property budgets.
- Proven ability to manage labor costs and staffing levels across multiple sites.
- Experience designing or delivering staff training programs.
- Experience managing a diverse portfolio, including residential, commercial, and mixed-use properties.
Physical Requirements
- Ability to speak, read, write, and understand the English language.
- Ability to lift objects weighing 25 lbs. without the assistance of tools or devices.
- Prolonged periods of standing and walking.
- Able to walk the property and show units without assistance, including walking up two flights of stairs or between buildings on the property.
- Prolonged periods sitting at a desk and working on a computer.
