About the role
The Regional Administrative Support Manager supervises franchise administrative staff, manages audits and processes across assigned franchises, and serves as the liaison between franchises, the Regional Shared Services Manager, and the Corporate Controller.
Responsibilities
- Oversee all A3 responsibilities: local customer pricing/account setup, Settlement, Money room, EMO process, Tel-Sell, payroll, commission, AR, AP, customer service, and alcohol guidelines.
- Maintain administrative services procedures manual, records, reports, and files.
- Prepare financial and KPI reports; distribute to regional and franchise management as designated.
- Conduct monthly cash-room safe audits with the Regional Shared Services Manager to ensure proper procedures and prevent theft or fraud.
- Ensure compliance with Standard Operating Procedures, focusing on those impacting financial statements (Cash, Accounts Receivable/Payable, Inventory, Fixed Assets, Motus).
- Audit customer master files (AP, AR, On-Premise), contract and promotional pricing, Equipment Management Software, and CDAs for accuracy.
- Supervise and manage month-end closing duties for each Franchise Center in the Region.
- Handle all business licenses and food safety permits.
- Ensure general ledger accounts balance for monthly P&L by pulling reports via Equipment Management System, SEED, VIP, IDIG, and Oracle; enter reconciled amounts on corporate spreadsheets by the fourth business day.
- Supervise preparation of year-end reconciliations and workpapers for Corporate finance and accounting review in conjunction with the year-end audit.
- Ensure appropriate cross-training for Franchise Administrative team(s).
- Research and implement centralization of administrative functions (e.g., customer/supplier setup) and monitor progress.
- Review Accounts Receivable aging and follow up on past-due accounts to formulate collection strategies.
- Exhibit high ethical and moral conduct in all work-related settings.
- Complete assigned training curriculum (web-based, in-house, or other methods).

Requirements
- High School Diploma or GED (required).
- Basic knowledge of Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint, ShareFile, OneNote, OneDrive).
- Three years of administrative experience and at least one year of management experience (or comparable experience approved by management).
- Valid state driver’s license with a good driving record.
