Responsibilities
- Provide principal support for the Pacific West Region Vice President by managing all administrative functions of the region, including calendar management, travel arrangements, meeting and conference coordination, and communications development.
- Coordinate and support day-to-day region initiatives and project activities to ensure key tasks and deadlines are met.
- Provide event and project management support for multiple events and initiatives.
- Manage the Field Leader’s calendar, coordinating with various counterparts and business partners.
- Arrange and maintain the Field Leader’s travel schedule, considering corporate, region, and office calendars, and prioritize based on business needs.
- Organize, support, and execute all meetings, events, and conference calls for the region and corporate office, including technical support, agenda preparation, pre-work coordination, and post-meeting task delegation.
- Work with internal and external partners to manage the event process.
- Prepare internal and external communications (e.g., emails, memos, letters, newsletters, recognition) on behalf of the Field Leader.
- Prepare reports, presentations, and materials as needed.
- Act as a liaison for the Field Leader across all levels of the company, including corporate office members, executive leadership, region leadership, and staff.
- Manage, direct, and prioritize communications via phone, email, and mail for the Field Leader’s office.
- Take end-to-end ownership of projects, planning and managing all aspects of multiple projects.
- Accountable for region business operations, resolving critical project issues, providing leadership to project resources, and managing overall project readiness (e.g., ELT/RVP 1:1 materials, regional calendar, advisor engagement, lead tracking, region invoice processing, and payment).
Requirements
- High School diploma or GED.
- 3 to 5 years of relevant experience.
- Excellent written and verbal communication skills with a strong client service orientation.
- Ability to manage multiple priorities in a fast-paced environment with little or no supervision.
- Proficient with standard business software such as the Microsoft Office Suite.
- Ability to maintain confidentiality and privacy.
- Ability to work with all levels of employees and advisors.
- Ability to handle and maintain private and confidential information appropriately.
- Some travel required.
Preferred Qualifications
- Previous financial experience, including bill paying and reconciliation.
- Previous executive assistant experience.
- Associate degree or equivalent.

In-Office Collaboration
We are a client-centric, relationship-based business. Working together in-person is foundational to how we achieve results. Employees work in the office at least four (4) days per week, with flexibility to work from home one (1) day per week. Some roles may require additional in-office time or different expectations, which will be discussed during the hiring process.
Pay
The estimated base salary for this role is $68,500–$94,300 per year. We have a pay-for-performance compensation philosophy. Initial total compensation may vary based on job-related knowledge, skills, experience, and geographical work location. Most roles are eligible for variable pay in the form of bonuses, commissions, and/or long-term incentives.
