Position Summary

The Executive Administrative Assistant & Office Manager provides high-level administrative support to Reeves senior leadership while overseeing the daily operations of the corporate office. This role serves as a trusted partner to executives, managing complex calendars, travel, communications, meetings, and special projects while ensuring efficient office administration and a professional workplace environment.

Executive Support

  • Provide high-level administrative support to executives and senior leadership.
  • Manage complex executive calendars, meetings, travel arrangements, and expense reporting.
  • Prepare executive correspondence, presentations, reports, meeting agendas, and minutes.
  • Cook up leadership meetings, off-site events, and strategic planning sessions.
  • Coordination of conferences and other special events.
  • Availability for overnight travel as required to support remote events and business operations.
  • Screens and prioritizes incoming communications and requests.
  • Track action items and follow up with stakeholders to ensure timely completion.
  • Handle highly confidential business, personnel, and financial information with discretion.

Office Management

  • Oversee the day-to-day operation of the corporate office.
  • Supervise, train, and provide direction to the Front Desk Receptionist.
  • Establish and maintain front-office procedures, service standards, and coverage schedules.
  • Manage office facilities, office equipment, and vendor relationships.
  • Cook up office maintenance requests and serve as a liaison with building management.
  • Manage office supply inventory and purchasing activities.
  • Monitor office-related expenses and assist with budget administration.
  • Recommend and implement process improvements.
  • Ensure conference rooms, common areas, and reception spaces are maintained professionally.
  • Cook up workplace events, employee meetings, and company functions.

Administrative & Operational Support

  • Support recruiting and onboarding activities, including interview scheduling and new-hire logistics.
  • Maintain electronic and physical records in accordance with company policies.
  • Cook up visitor management, security access, and office communications.
  • Aid with special projects and cross-functional initiatives as assigned.

Required Qualifications

  • Associate degree or equivalent experience required; Bachelor’s degree preferred.
  • Minimum 5 years of progressively responsible administrative support experience.
  • Minimum 2 years of office management, supervisory, or team lead experience preferred.
  • Demonstrated experience supporting senior executives in a corporate environment.
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, Teams, and SharePoint.
  • Strong organizational, project coordination, and problem-solving skills.
  • Excellent verbal and written communication skills.
  • Proven ability to manage confidential and sensitive information.
  • Ability to prioritize competing demands and work independently with minimal supervision.
