About the role

The Recruitment Admin Coordinators play a crucial role in driving talent attraction strategies and supporting an effective recruitment process. They collaborate with recruiters, hiring managers, vendors, and other stakeholders to ensure smooth operations.

Responsibilities

  • Oversee account-specific administration activities such as job postings, interview scheduling, help desk support, applicant tracking system updates, and pre-employment screening or reference checks initiation or verification
  • Manage various ad-hoc administration activities to support the recruitment process
  • Accurately complete daily, weekly, monthly, and quarterly reports within set deadlines
  • Build and maintain strong working relationships with all parties including recruiters, hiring managers, vendors, and other account stakeholders
  • Ensure stakeholders are continuously appraised and updated on relevant processes
  • Deal with day-to-day queries effectively and escalate issues as necessary
  • Participate in continuous improvement initiatives within the immediate team
  • Utilize technology and other rollouts to enhance team performance

Requirements

  • Exceptional organizational skills with the ability to manage multiple spreadsheets, reports, and competing priorities simultaneously
  • Strong time management skills with the ability to meet strict deadlines and manage high-volume administrative tasks
  • Excellent attention to detail, ensuring accuracy across all recruitment documentation, reporting, and data management activities
  • Minimum 1–2 years of administrative experience, preferably within recruitment, HR, staffing, or a related function
  • Proven experience in data entry and database maintenance with a high degree of accuracy
  • Strong interpersonal and communication skills with the ability to build effective working relationships with internal and external stakeholders
