Recruiting Coordinator
About The Role
You're air traffic control: you don't need to be in every interview, but you always know where every plane is. You've filled roles on your own, you design frameworks that scale, and you care deeply about how candidates feel at every step — even when no one's watching.
What You'll Do
- Own interview scheduling across all open roles — coordinating availability for candidates, hiring managers, and interviewers across time zones, moving quickly when things shift
- Be the candidate's primary point of contact throughout the process — proactive, warm, and clear at every touchpoint from initial outreach through close
- Manage inbound candidates from our careers page and LinkedIn alongside agency and external recruiter pipelines
- Build and maintain the hiring infrastructure: scorecards, process docs, coordination templates, and frameworks that make our recruiting repeatable and consistent
- Spot friction in our recruiting process and fix it — we don't have a playbook for everything, and we want someone who sees that as an opportunity
- Create a candidate experience that makes SubQ stand out — every touchpoint should feel intentional, human, and reflective of our culture
- Partner closely with our recruiting team as a true thought partner — not just executing tasks, but helping us think ahead and move smarter
Qualifications
- You have 3+ years in a recruiting coordination or talent acquisition role, with a track record of managing high-volume, complex hiring processes — experience with technical or research roles is a real advantage.
- You've closed roles on your own and know what it takes to move a candidate from first contact to offer
- You build systems naturally — whether it's a tracking sheet, a process doc, or a full coordination framework, you create structure that other people can actually use
- You find AI genuinely interesting — not just as a career backdrop, but because you follow the space, think about where it's going, and understand that the stakes are real
- You're open to unconventional recruiting approaches and non-traditional talent strategies — you're not attached to the standard playbook if something better exists
- You thrive when there's a lot in motion — you stay organized, stay calm, and never let a candidate feel forgotten
- You're curious enough about technical work to hold an intelligent conversation about what makes a strong research engineer or ML scientist, even if you didn't study CS
- You're self-directed and detail-obsessed — you notice what needs to happen before anyone asks, and you follow through without needing hand-holding
- You've worked on hiring for roles touching GenAI, LLMs, or frontier AI research, or you're ready to learn that world quickly
