Recruiting Coordinator

About the role
The Recruitment Coordinator acts as the guardian of the candidate experience, ensuring all logistical and administrative aspects of the Talent Acquisition process are executed with precision and a high customer-service orientation. You will navigate and resolve scheduling conflicts, work independently, and drive the internal brand of Talent Acquisition forward through outstanding engagement. This role supports the Operations - Solutions Recruiting Team, providing both onsite and remote assistance. Key responsibilities include arranging complex interviews, facilitating candidate interview days, and maintaining a first-class candidate experience.
Responsibilities
- Provide system support to Hiring Managers and Recruiters as a Subject Matter Expert on Workday Recruiting and recruiting processes.
- Work with hiring managers and candidates to secure interview availability and respond to queries.
- Utilize relevant tools and systems to accurately schedule and confirm interviews, book meeting rooms, arrange travel, and manage supporting logistics.
- Contribute to a first-class candidate experience by acting as the face of the Talent Acquisition team when meeting and greeting candidates.
- Send and track candidate assessments.
- Support Recruiters in reviewing and producing offer letters and employment agreements.
- Play an active role in supporting candidates through post-offer processes to ensure a positive onboarding experience.
- Proactively build positive relationships with internal and external stakeholders.
- Manage candidate expenses and purchase order generation.
- Review new requisitions for accuracy, completeness, and prompt allocation to the relevant recruiter.
- Participate in continuous improvement projects.
Requirements
- 1 year of experience with scheduling (internships or part-time roles with high-volume scheduling are acceptable).
- Ability to manage and prioritize a high volume of requests.
- High attention to detail, especially when coordinating across multiple time zones.
- Strong organizational skills with a dedication to follow-up.
Qualifications
- Bachelor’s degree or equivalent (preferred but not required).
- 1-3 years’ experience in a coordination role, ideally within an onsite or in-house team.
- Experience with Applicant Tracking Systems and administrative tools.
- Proven expertise with complex and high-volume scheduling.
- Excellent verbal and written communication skills.
- Outstanding organizational skills and attention to detail.
- Proficiency in Outlook, Excel, Word, and PowerPoint.
- Capability to interact with people across all levels of the business with a high customer-service orientation.
- Experience with recruiting tools and technologies.
- Ability to manage and prioritize requests in a fast-paced environment while providing remote support.
- Experience within Human Resources (preferred).
Skills
- Experience with calendar management and scheduling.
- Managing scheduling in a Talent Acquisition environment (nice to have).
- Exposure to Outlook, SharePoint, and shared document hubs.
- Familiarity with Outlook functionalities, such as Templates.
Schedule
- Monday–Friday, 40 hours per week.
- Hybrid schedule: 3 days onsite in Deerfield, IL (flexible days) and 2 days remote.
- 1st shift (normal business hours).
