The Recruiting Coordinator is a key member of the Organizational Development team, responsible for supporting all aspects of the talent acquisition process. This role ensures a smooth and efficient candidate experience, facilitates interview coordination, and collaborates closely with hiring managers to maintain high standards in recruitment. The Recruiting Coordinator will enhance the company's recruitment process by implementing best practices and optimizing end-to-end hiring procedures, including resume review, initial phone screenings, and managing hiring for select roles such as Administrative Assistants and Client Service Associates.
Responsibilities
- Interview Coordination & Candidate Experience
- Schedule and coordinate interviews, ensuring alignment with candidates' and hiring managers' availability.
- Prepare interview agendas, send confirmation emails, and provide candidates with necessary information about the interview process.
- Monitor and track the progress of interviews, follow up with candidates, and ensure a positive candidate experience throughout the hiring process.
- Ensure hiring managers are taking and documenting notes during interviews for consistency in the selection process.
- Act as a point of contact for candidates throughout the recruitment process, providing updates and addressing any questions or concerns.
- Talent Acquisition Process Development
- Collaborate with stakeholders to create, evaluate, and implement an efficient and effective end-to-end talent acquisition process.
- Develop standardized templates, guides, and checklists to streamline recruitment activities.
- Maintain and update internal systems (Quip and ADP) to ensure accurate and up-to-date candidate information.
- Develop ADP best practices for role posting, screening, candidate workflow, and follow-up.
- Identify potential roadblocks within the hiring process and work with stakeholders to develop scalable mitigation plans.
- Hiring for Select Roles
- Manage the hiring process for Administrative Assistants, Client Service Associates, and other designated positions.
- Work closely with hiring managers to understand role requirements and develop effective sourcing strategies.
- Develop and communicate realistic timelines and actionable next steps for stakeholders/hiring managers throughout the recruitment process.
- Extend job offers and facilitate the onboarding process for select hires.
Requirements
- Bachelor's degree in Human Resources, Business Administration, or a related field, or equivalent experience.
- 2+ years of experience in recruitment coordination, talent acquisition, or a similar role.
- Strong organizational skills with the ability to manage multiple tasks and priorities.
- Excellent communication skills, both written and verbal.
- Detail-oriented with a commitment to ensuring a positive candidate experience.
- Ability to work independently as well as collaboratively in a team environment.
Preferred Qualifications
- Industry experience.
- Experience with ADP.
- Experience in hiring for administrative and client-facing roles.
