Recruiting Coordinator
About the role
The Recruiting Coordinator supports the full recruitment lifecycle by managing interview logistics, candidate communication, and recruitment administration. They work closely with external recruiters and hiring managers to ensure organized and high quality candidate experience while helping the company meet its hiring goals.
Responsibilities
- Coordinate and schedule phone, video, and onsite interviews across multiple departments, often balancing multiple time zones and calendars.
- Serve as the primary point of contact for candidates regarding interview logistics, directions, technology links, and follow up communication.
- Post and update job openings in the Applicant Tracking System (ATS), so they are posted in a timely manner to job boards and the company careers site.
- Maintain and update candidate records and requisitions in the ATS ensuring data accuracy and timely status updates.
- Prepare interview schedules for hiring managers and interviewers, including resumes and structured interview guides where applicable.
- Career travel and onsite logistics (visitor access, meeting room reservations) when needed; ensure a professional onsite experience for candidates.
- Act as point of contact for recruiting agencies submitting candidates for job openings. Manage our relationship with agencies.
- Support new hire onboarding activities such as welcome communication, first day schedules, and coordination with HR, IT, and facilities.
- Help track and report basic recruiting metrics (time to fill, candidates per opening, interview to offer ratios) to support continuous improvement.
- Ensure recruiting practices and documentation align with company policies, equal employment opportunity (EEO) requirements, and basic employment law standards, particularly important in a regulated industry like medical devices.
- Contribute to employer branding initiatives, such as careers page content and social media posts.
- Support a mix of hourly manufacturing roles and exempt professional roles, requiring flexibility in scheduling and communication style.
Requirements
Required Knowledge, Skills And Abilities:
- Strong organizational and time management skills; proven ability to manage high volume scheduling and multiple priorities with attention to detail.
- Excellent written and verbal communication skills, with a professional and approachable style for candidates and internal stakeholders.
- Proficiency with ATS platforms (e.g., Job Score, Workday, iCIMS) and calendar tools (Outlook, Teams, Zoom).
- High level of accuracy in data entry and documentation; comfort working with spreadsheets and basic reports.
- Demonstrated ability to maintain confidentiality and handle sensitive candidate and employee information with discretion.
- Customer service mindset with a focus on delivering a positive candidate and hiring manager experience.
- Basic understanding of recruiting workflows and foundational employment law concepts (EEO, anti-discrimination, data privacy) preferred.

- Knowledge of medical device industry and/or healthcare sector is beneficial but not required.
