About the role
CalHR’s Personnel Management Division (PMD) is seeking a motivated Student Assistant to support a records and information management project involving California's statewide classification system. Under close supervision and in a learner capacity, you will assist with reviewing, organizing, categorizing, and consolidating historical classification records into a centralized reference library. This role offers practical experience in records and information management, technology-supported workflows, research, project support, and California's personnel management system.
Responsibilities
- Review, organize, categorize, and consolidate historical classification records.
- Support the development of a centralized reference library for California’s statewide classification system.
- Assist with records and information management tasks using established policies and procedures.
- Utilize Microsoft 365 applications (Word, Excel, Outlook, Teams, SharePoint) to manage workflows and documentation.
- Perform research and provide project support as needed.
- Manage multiple assignments and meet established deadlines.
Requirements
- Enrolled in a minimum of 6 semester units or 9 quarter units per academic term, with no less than 12 semester units or 18 quarter units per academic year.
- Minimum 2.0 grade point average.
- Field of study must correlate with the duties of this position (e.g., public administration, business administration, human resources, organizational management, information management, information technology, or related fields).
- Candidates must provide transcripts (unofficial or official) and/or verification of college enrollment with their application.

- Interest in public administration, business administration, human resources, organizational management, information management, or a related field.
- Strong organizational skills and attention to detail.
- Ability to review, categorize, and organize information accurately and consistently.
- Effective written and verbal communication skills.
- Experience with or ability to learn Microsoft 365 applications (Word, Excel, Outlook, Teams, SharePoint).
- Ability to exercise discretion when handling sensitive information.

Pay
- Monthly salary ranges (gross pay before taxes/deductions):
- $3,167.00 - $3,480.00 (Range A)
- $3,389.00 - $3,724.00 (Range B)
- $3,623.00 - $3,988.00 (Range C)
- $3,878.00 - $4,268.00 (Range D)
- New to State candidates will be hired into the minimum salary of the classification or minimum of alternate range when applicable.
- Effective July 1, 2025, state employees are subject to temporary salary reductions (2% to 4.62%) in exchange for Personal Leave Program (PLP) hours. More information.

- Hybrid work arrangement: In-person at least four (4) days per week, with potential for additional in-office days based on operational needs.
