About the role
The Records Clerk is responsible for initiating, maintaining, updating, filing and destroying resident documentation and records. Reporting Structure: The Records Clerk reports directly to the Records Room Division Supervisor and/or the Major of the Records Room Division.
Responsibilities
- Initiates a new record for all new offenders committed to the Richmond City Jail.
- Reads and interprets court documents and updates court information in Jail Tracker.
- Accurately applies credits, computes sentencing information, and determines the correct booking code for each record.
- Provides customer service to internal/external customers and agencies, the general public, courts, and attorneys.
- Sets up releases, turnovers, bonds and runs all VCIN/NCIC and local warrants.
- Keeps an open line of communication with the courts to resolve any discrepancies.
- Films all active and inactive paperwork.
- Creates an active file for each new commitment to the Richmond City Justice Center.
- Purges records in accordance with the Records Retention regulations.
- Maintains an accurate filing system.
- Purge records in accordance with the records retention regulations set forth by the Library of Virginia.
- Answers telephone inquiries and directs them to the appropriate individual.
- Maintain the confidence and trust of peers, superiors and general citizenry.
- Responsible for all other assignments as directed by the Records Room Supervisor or Sheriff or her designee.
Qualifications
- High School Diploma or equivalent.
- Knowledgeable with the Freedom of Information Act and records retention regulations set forth by the Library of Virginia.
- One year records clerk experience preferred.
- Knowledgeable in basic filing systems.
- The ability to maintain confidentiality.
- Proficient in the use of Microsoft Office Suite, general office equipment and possess basic computer skills.
- Knowledge of Intranet and Internet use.
