About the role
This position is located in the Warehouse/Assets & Records Management Unit, SCDMV Headquarters in Blythewood, SC.
Responsibilities
- Oversee and execute the administration, management, and maintenance of select systems for the Agency’s Records Management Program, including retrieval and deliveries of records, inputting storage and destruction data, supporting agency records liaisons, stocking records, performing inventories, and generating monthly destruction lists and pulls.
- Under the supervision of the Agency’s Records Officer, compile and complete monthly reconciliation reports and forms for assigned systems, ensuring compliance with guidelines from the Department of Archives and History and the South Carolina Public Records Act.
- Assist with daily administrative activities for the Agency’s inventory control program (Asset Management) within SAP, including processing receipts, adjustments (additions, deletions, transfers, PTs/TIDs), generating system reports, creating asset shells, and issuing asset decals.
- Monitor original SCDMV records retention schedules to ensure compliance with state standards and the Public Records Act as needed.
- Assist with supply management duties such as receipts and release of supplies and equipment, quality control, and preparing orders for shipment.
- Perform other duties as required by the Warehouse Manager and Assistant Manager.
Minimum Requirements
- A high school diploma and experience in records management, information systems, or office administration.
- Must complete a nationwide criminal background check including fingerprinting.
- Ability to communicate effectively and maintain good working relationships across divisions and supporting agencies.
- Ability to assist with proper records management techniques and knowledge of the South Carolina Public Records Act.
- Ability to maintain automated and manual record-keeping systems and demonstrate working knowledge of inventory control practices.
- Ability to follow programs, policies, and procedures related to asset and records management.
- Ability to learn and retain working knowledge of Asset Management and Financial Modules/Roles within SAP (SCEIS).
- Ability to work independently with minimal supervision and effectively prioritize workload to meet schedules and agency-wide goals.
- Responsible for overseeing the work of individuals assisting with records management duties as needed.
- Ability to bend, stoop, and lift over 50 pounds.
- Efficient and accurate work habits with basic computer knowledge.
- Ability to drive 12ft. to 22ft. trucks and operate forklifts/order pickers.
- Must have a valid South Carolina Driver’s License.
- Employee work hours may include overtime and limited overnight travel.
- Authorized to operate powered industrial trucks (e.g., forklift, order picker, electric pallet jack) and use manual equipment such as pallet jacks, push/pull carts, hand trucks, and ladders.
- Must wear agency-issued steel toe footwear in warehouse floor areas at all times.
- Work hours are 8:00 AM to 4:30 PM.
Preferred Qualifications
- Experience in Records Management.
- Proficiency in Microsoft Access.
- Experience with SAP (SCEIS).
