About the role

Provide general office support with a variety of clerical activities and related tasks, including answering incoming calls, directing calls to appropriate departments, mail distribution, correspondence flow, and requisition of supplies.

Responsibilities

  • Meet physical and sensory requirements of the role and work in the described environment.
  • Identify and participate in process improvement initiatives that enhance customer experience, workflow, and work environment.
  • Answer telephones or switchboard during scheduled shift and redirect calls to appropriate employees or departments.
  • Transfer callers to voicemail when employees are unavailable.
  • Provide callers with facility information such as address, directions, fax numbers, website, and related details.
  • Receive, sort, and forward incoming mail; coordinate pick-up and delivery of express mail services (FedEx, UPS, etc.).
  • Assist in ordering, receiving, stocking, and distributing office supplies.
  • Perform other clerical duties such as copying, faxing, and filing as needed.
  • Complete special projects and additional duties as assigned.

Requirements

  • High school diploma or GED required; equivalent related work experience may substitute.
  • Six months to one year of customer service experience or related office/clerical experience.
  • Excellent phone etiquette and professionalism, with the ability to maintain confidentiality.
  • Effective verbal and written English communication skills.
  • Basic to intermediate skills in Microsoft Word, Excel, PowerPoint, Outlook, and internet/intranet navigation.
  • Ability to communicate at all levels of the organization and work well in a team environment.
  • Customer service-oriented with the ability to work under pressure.
  • Strong attention to detail, accuracy, and organizational skills; ability to prioritize and manage multiple projects.
  • Strong analytical and problem-solving skills.
  • Ability to work with minimal supervision, take initiative, and make independent decisions.
  • Ability to handle new tasks without written procedures.
  • Approachable, flexible, and adaptable to change.
  • Ability to function independently, with personal integrity, and work effectively with employees and vendors.

Physical and Sensory Requirements

  • Moderate physical activity, including handling objects up to twenty-five (25) pounds (e.g., boxes of paper, mail, copying projects).
  • Standing and/or walking for more than one hour per day.
  • Sitting for more than two hours at a time.
  • Consistent computer work involving repetitive typing and prolonged screen concentration.
