Main Responsibilities
- Provide exceptional customer service by greeting all visitors and guests in a friendly and professional manner.
- Operate multi-line phone and paging systems, efficiently routing calls to the appropriate party.
- Aid in scheduling staff to ensure resident needs and compliance with federal, state, and local regulations.
- Maintain accurate monthly and daily staffing records, ensuring they are completed in a timely manner.
- Secure shift coverage for open positions, vacation requests, call-offs, and vacancies.
- Maintain resident trust fund accounts, ensuring accuracy and confidentiality.
- Handle sensitive information regarding residents and facility matters with professionalism and discretion.
- Assist with various administrative tasks, including document scanning, accounts payable (AP), and scheduling care conferences.
- Perform various office duties such as assisting with mailings and relaying messages.
Medical Records Responsibilities
- Maintain medical records in accordance with state, federal, and facility policies.
- Collect, organize, and file documents, correspondence, and printed materials.
- Ensure the confidentiality and integrity of all resident medical information.
- Support the Office Manager with Accounts Receivable (A/R), billing, and other resident account functions as needed.
- Perform other administrative and clerical duties as assigned.
Qualifications
- High school diploma or equivalent required.
- Previous experience in a healthcare or skilled nursing facility preferred.
- Strong customer service, communication, and interpersonal skills.
- Skilled in Microsoft Office Suite (Word, Excel, Outlook).
- Highly organized with the ability to manage multiple tasks and deadlines.
- Detail-oriented, professional, and dependable.
- Ability to maintain strict confidentiality in all matters related to residents and facility operations.
