Knowledge, Skills, And Abilities
The Receptionist/Front Desk Coordinator serves as the first point of contact for visitors, clients, and employees. This role is responsible for managing front desk operations, providing administrative support, and ensuring a professional and welcoming environment.
The ideal candidate is organized, personable, and able to handle multiple tasks in a fast-paced office setting.
What You'll Be Able To Do
- Greet and assist visitors, clients, and vendors in a professional and friendly manner
- Answer and direct incoming phone calls and emails
- Maintain the front desk and common areas to ensure they are organized and presentable
- Schedule appointments, meetings, and conference room bookings
- Handle incoming and outgoing mail, packages, and deliveries
- Provide general administrative support such as data entry, filing, copying, and document preparation
- Maintain office supplies and place orders when necessary
- Assist with processing insurance requests and providing status updates as needed
- Communicate with internal staff regarding insurance requests when necessary
- Aid with onboarding and other HR-related administrative tasks as needed
- Cook up with other departments to support daily office operations
- Maintain confidentiality of sensitive information
- Other duties as assigned
The Minimum Requirements We Seek
- A high school diploma or equivalent (Associate’s or Bachelor’s degree preferred)
- 1–3 years of administrative, receptionist, or front desk experience preferred
- Proficiency with Microsoft Office (Word, Excel, Outlook)
- Strong communication and customer service skills
- Excellent organizational and multitasking abilities
- Ability to work independently and as part of a team
- Valid NYS driver’s license required
