Receptionist

About the role

We are seeking an energetic, positive, and engaging receptionist to be the face of our early childhood campus, including the child development center and mental health services through administrative support. You will work with the entire staff to promote the physical, social, cognitive, and emotional well-being of the children we serve through holistic daily programs designed to enhance healthy age-appropriate development.

Responsibilities

Campus Support

  • Perform front office duties: reception, phones, granting visitors/staff access to the site
  • Answer main switchboard and respond to visitors
  • Maintain comfort and safety of lobby/waiting area
  • Follow COVID procedures regarding online check-in and temperature check
  • Ensure parents follow COVID safety protocols at drop-off and pick-up
  • Ask visitors that enter to sign-in to appropriate log (visitor and specialized therapists)
  • Order office and classroom supplies and assist staff with clerical duties as needed
  • Process all incoming faxes, scanned documents, etc.; disseminate appropriately
  • Assist with metering, mailing outgoing mail, and distributing incoming mail; maintain mail/copy rooms
  • Enter HelpDesk tickets as needed for maintenance of building

Child Development Center Support

  • Complete daily attendance check and report in ProCare
  • Additional data entry and communication regarding facilities management
  • Provide assistance with breaks or room coverage as needed
  • Support Business Office in matters related to processing fee collections
  • Maintain all records pertaining to attendance, meal counts, and others as delegated by Director
  • Assist with planning of events (e.g., Teacher Recognition Week, March Madness)
  • Collect Parent satisfaction surveys (10) using paper survey and enter results in Survey Monkey

Mental Health Services Support

  • Contact new referrals for therapy to schedule initial assessment, send consent forms through DocuSign, and assist with maintaining up-to-date records in Electronic Health Records
  • Provide clinicians with weekly Data Quality reports and support timely adjustments of health records
  • Conduct regular calls with clients on waitlist to inform them of their status
  • Support clinical staff with necessary communication to clients

Requirements

  • High school diploma or GED
  • At least one year of administrative experience
  • Familiarity with MS Word, Excel, and Outlook
  • Knowledge of Spanish language helpful
  • Valid driver’s license with at least 3 years of driving experience and a clean driving record

All potential job candidates must pass a drug screening test and an extensive background check.
