We are looking for an experienced and dependable Receptionist to support customer communications and appointment coordination for a team based in Fairfax, Virginia. This is a long-term contract position ideal for someone who enjoys speaking with customers, organizing schedules, and ensuring inquiries are routed efficiently.
About the role
The person in this role will serve as an important first point of contact while helping maintain a smooth flow of scheduling and follow-up activity.
Responsibilities
- Respond to incoming calls professionally and provide a positive first impression for customers seeking service information.
- Screen customer inquiries to confirm service needs align with the company’s offerings and service area before moving forward with scheduling.
- Arrange appointments for estimators and manage calendar availability to support timely customer visits.
- Reconnect with individuals who reached out outside of business hours and help move their requests toward scheduling.
- Maintain accurate call notes, appointment details, and customer information using Microsoft Office and company-provided tools.
- Coordinate multiple phone lines efficiently while prioritizing urgent requests and maintaining organized communication.
- Assist with general front-office support tasks related to reception, call handling, and scheduling operations.
Requirements
- At least 2 years of experience in a receptionist, customer service, or scheduling-focused position.
- Proven ability to manage inbound calls across a multi-line phone environment with professionalism and accuracy.
- Experience coordinating appointments and maintaining calendars in a fast-paced setting.
- Proficiency with Microsoft Office for routine administrative and communication tasks.
- Strong verbal communication skills with the ability to gather information and direct customers appropriately.
- Excellent organizational skills and attention to detail when handling schedules and customer records.
- Spanish language skills are a plus but are not required.
