About the Role
This position is responsible for attending to and greeting visitors and answering telephones. Duties are limited to clerical tasks within the Reception/Administrative area. There is no clinical involvement of any kind.
Responsibilities
- Provide general administrative and clerical support.
- Greet and welcome patients, clients, and other visitors with a friendly and positive demeanor.
- Answer telephone calls, take messages, or forward calls.
- Check visitors in and direct or escort them to specific destinations; inform other employees of visitors’ arrivals and cancellations.
- Maintain visitor sign-in log.
- Handle incoming and outgoing mail.
- Schedule appointments and maintain meeting room bookings.
- Maintain and tidy the reception area.
- Agree not to disclose residents’ protected health information and promptly report suspected or known violations.
- Maintain confidentiality of all resident care information, including protected health information.
- Report known or suspected incidents of unauthorized disclosure of such information.
- Perform other duties as assigned.
Requirements
- Must possess, at a minimum, a high school diploma or GED.
- Previous administrative or receptionist experience preferred.
- Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
- Ability to write reports, business correspondence, and procedure manuals.
- Ability to effectively present information and respond to questions from managers and employees.
- Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
- Ability to solve practical problems and deal with a variety of concrete variables in situations with limited standardization.
- Ability to interpret instructions furnished in written, oral, diagram, or schedule form.
- Basic knowledge of Microsoft Suite products, clerical functions, and multiline phone systems.
Physical Demands
- Must occasionally lift and/or move up to 25 pounds.
- Prolonged use of a desktop or laptop computer.
- Regularly required to sit, stand, walk, talk, read, or hear.
- Frequent use of office-related equipment, including copier/scanner/fax, telephone, and calculator.
- No travel required.
Work Environment
- The noise level in the work environment is typically low to moderate.
