Position Summary
The primary focus of the Receptionist position is to act as the first point of contact for visitors and to manage the flow of incoming calls to the office. The Receptionist may also perform a variety of administrative tasks to support the office needs.
Key Responsibilities
- Acts as first point of contact for all visitors.
- Greets visitors and promptly notifies internal parties of arrival.
- Answers incoming calls (locally and nationally) and directs them appropriately.
- Congntrates conference room reservations and proactively monitors conference room schedule to avoid conflicts and resolves minor issues relating there to.
- Orders catering for all meetings and maintains a good rapport with caterers.
- Codfers transportation needs for internal and external customers, including cabs and car services to airport, court, etc.
- Reserves visitor offices as needed and accommodates visitors upon arrival.
- Accurately and thoroughly maintains visitor/delivery logs and outgoing package logs.
- Ensures all visitors check in at reception immediately upon arrival to maintain security.
- Maintains high degree of professionalism and confidentiality.
- Aids with other department activities as needed, and performs additional duties and responsibilities as assigned.

- Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation.
- Provides outstanding client service, meets high quality standards for services and meets or exceeds client expectations.
- Proactive in seeking innovative ways in which to help others.
- Candidate must be a self-starter who can work independently with minimal supervision.
- High attention to detail, outstanding organizational skills and the ability to manage time effectively.
Skills & Competencies
- Technology proficiency with Windows-based software and Microsoft Word, Excel and Outlook required.
- Exceptional computer skills with the ability to learn new software applications quickly.
- Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment.
- Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed.
- Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation.
