Great Livin' LLC is looking for a detail-oriented Receptionist to serve as the first point of contact for visitors, clients, and callers. This role provides essential administrative support, manages records, and ensures smooth communication across the organization.
Responsibilities
- Support to the Administration/Management
- Answer, screen, and direct telephone calls
- Check voicemails and follow up on messages left in the general mailbox
- Take and relay messages
- Provide information to callers
- Greet persons entering the organization and direct them to the correct destination
- Deal with queries from the public and customers
- Log new client referrals into Therap priority module and communicate information to the Program Director and COO
- Ensure knowledge of staff movements in and out of the organization
- Monitor visitor access and maintain security awareness
- Provide general administrative and clerical support
- Make deliveries and run errands as needed
- Prepare correspondence and documents
- Receive and sort daily mail and deliveries
- Scan mail and documents to the operations assistant
- Organize conference and meeting room bookings
- Coordinate meetings and arrange catering
- Clean and sanitize high-traffic areas in the office
- Receive faxes and distribute them to appropriate parties
- Distribute payroll and ensure employees sign for checks or direct deposit receipts
- Complete weekly inventory of office supplies, electronic equipment, and office property for the operations assistant
- Records Management
- File documentation in office client books and records weekly
- Ensure completeness and quality of all documents before filing or accepting them
- Forward documentation to appropriate parties and ensure receipt
- Support to Individuals and Stakeholders
- Email or fax requested information, including but not limited to: DOH, DDSD, and IDT members
- Attend management and QA/QI meetings as requested
- Complete other tasks assigned by the Program Director relevant to Great Livin' LLC’s mission and ethics
- Adhere to job-related requirements per Great Livin’s Policies and Procedures, and State Standards (e.g., completing required documentation before leaving shift, reporting State Abuse, Neglect, and Exploitation, GERs, Time IPS)
Requirements
- High School Diploma (generally required)
- Agreeable to additional training to enhance position skills
- Must be able to speak, read, and write in English
- Proficient in the use of a personal computer and various software packages
- Knowledge of administrative and clerical procedures
- Knowledge of computers and relevant software applications (e.g., Therap, Microsoft Office 365)
- Knowledge of customer service principles and practices
- Keyboard skills
- Must follow dress code per handbook and maintain business casual attire at all times
- Working knowledge of agency positions and responsibilities, including who to direct specific questions or concerns to
- Good integrity and adequate physical, mental, and emotional stability to perform job duties safely and responsibly
- Strong organizational and time management skills
- General understanding of the DD Waiver, Mi Via Waiver, and Intermediate Care Facilities
- Ability to communicate courteously and professionally with co-workers, individuals, and stakeholders
- Able to establish priorities, work independently, and proceed with objectives without hands-on supervision
- Experience handling and resolving recurring problems

Special Requirements
- Valid New Mexico Driver’s License
- Valid Auto Liability Insurance
- Pass required background checks
- Pass TB test
- Complete job-related certifications/trainings as deemed necessary by Great Livin’ LLC or the state of New Mexico
