Key Responsibilities

  • Welcome on-site guests, determine the nature of their business, and announce them to appropriate personnel.
  • Answer incoming telephone calls, determine the purpose of callers, and forward calls to appropriate personnel or departments.
  • Take and deliver messages or transfer calls to voicemail when necessary.
  • Schedule meetings, travel plans, and conference rooms for attorneys, clients, and vendors.
  • Aid the legal teams with clerical duties such as faxing, copying, and organizing/maintaining files.
  • Ensure the main voicemail reflects office closings, special events, and post office closed signs.
  • Answer questions about the organization and provide callers with address, directions, and other requested information.
  • Receive and sort incoming faxes.
  • Receive, sort, and distribute office mail.
  • Ensure compliance with all company policies, procedures, and expectations.
  • Support administrative and special projects as assigned.

Minimum Responsibilities

  • Polished professional with an outgoing attitude, willing to make guests feel at home.
  • Outstanding time-management and typing skills with proficiency.
  • Demonstrated excellent organizational, coordinating, and personal interface skills.
  • Proven job diligence, dedication, and attention to detail.
  • Comfort and experience interfacing with various levels of staff and management, working in a fast-paced environment.
  • Familiarity and working knowledge of general office machines (fax, copier, printers, etc.).
  • Working knowledge of MS Office (Outlook, Word, Excel, etc.).
  • Professional presentation in attire, demeanor, appearance, and compliance to company dress code.
  • Demonstrate excellent written and verbal communication skills, including the ability to communicate effectively with the public, other employees, and vendors.
  • Strong sense of confidentiality and ability to exercise sound judgment.

Schedule

Full-time, 8-hour shifts Monday to Friday. Onsite in a professional office setting.
