Job Summary
The primary purpose of your position is to perform receptionist and clerical support in accordance with organization standards as well as federal, state, and local guidelines as directed by the Business Office Manager.
Essential Duties and Responsibilities
- Greet all visitors in a courteous, warm, and professional manner.
- Promote positive image of community.
- Inquires as to the nature of a visitor’s reason to enter the community; locates the appropriate staff to assist the visitor; and directs resident visitors to appropriate resident rooms.
- Answer telephones; determine nature of call and direct caller to appropriate individual or department.
- Receive inquiries and release information in accordance with established policies and procedures.
- Monitor guest registration to ensure that all visitors sign in/out, issues and collects access key cards as appropriate; assist with recording of temperature at temperature station in accordance with policies and procedures.
- Ensure guests/visitors abide by existing rules and refuse admission to persons as directed.
- May provide a tour to inquiries, obtains inquiry information for Sales/Marketing staff.
- Report suspicious persons/information to supervisor immediately.
- Aid with administrative duties as directed (typing, filing, posting accounts, etc.).
- Receive, sort, and distribute mail as directed.
- Aid residents with scheduling transportation and activities as requested.
- Operate copier, office machines, etc., as directed.
- Aid department directors in administrative matters (typing reports, correspondence, etc.).
- Accept and record funds for guest and staff meals; report anticipated meals to Dining Services.
- Ensure that computer left unattended is properly logged off or the password protected automatic screensaver activates within established community policy guidelines.
- Review the Activity Calendar daily and encourage residents to participate in planned activities, socialize, and develop friendships with others.
- Know the Lifestyle and Leisure information for each resident.
- Be familiar with alarms and building alarm system.
- Participate in emergency drills and respond to all alarms as established in policies and procedures.
- Report equipment malfunctions or breakdowns to your supervisor as soon as possible.
- Ensure administrative supplies have been replenished in work areas as necessary.
Qualification
- Must possess the ability to make independent decisions when circumstances warrant such action.
- Must possess the ability and willingness to work harmoniously with others, have patience, tact, a cheerful disposition, and enthusiasm, as well as the willingness to manage difficult residents.
- Works with co-workers, residents, family members, visitors, government agencies/personnel, and the general public.
- Must possess the ability to develop specific goals and plans to prioritize, organize, and accomplish your work.
- Must be able to read, write, speak, and understand the English language.
Experience/Education
- High School Diploma or GED.
- One year of experience preferred.
