Duties and Responsibilities
- Welcome and greet all clients as they arrive and notify providers of client arrival.
- Check clients in for appointments and scan all client-completed paperwork/updates to the electronic health record.
- Verify client insurance and collect co-pays during time of arrival and when scheduling via phone.
- Schedule new clients for intake appointments; provide explanations to clients of what to bring, what to expect at their first appointment, and collect payment/insurance information.
- Orient clients to the space and provide company information such as patient rights information, privacy information, and other required notifications.
- Answer all incoming calls in an efficient, pleasant, and professional manner and answer inquiries related to appointments, services, and general information.
- Confirm client's appointment and information to update systems to reflect any changes such as phone number, address, insurance, and other pertinent file information.
- Schedule client's return appointment and check clients out at the end of the visit and send client satisfaction surveys after the visit.
- Work with clients to address concerns promptly and professionally, and work with clients and billing to resolve any client insurance issues that impact their ability to receive treatment.
- Assist in gathering client information to assist the billing department in the event of a coding denial.
- Maintain professional relationships with clients and vendors as the face of Anew Behavioral Health for the client’s care experiences.
- Maintain medical records and correspondence files by recording cancellations, rescheduling, and appointments.
- Manage correspondence delivered to the worksite.
- Attend all required company education seminars/trainings and participate in team/company meetings.
- Other duties as assigned.
Qualifications
- Excellent interpersonal skills (verbal and written), organizational skills, proficiency in MS Office, and ability to utilize online EHR platforms.
- Understanding and following HIPAA compliance.
- A high school diploma with experience noted below is required. An associate’s degree in a Healthcare related field is preferred.
- No certification required.
- Prior experience in appointment scheduling, customer service, or a related field is preferred.
- Requires sitting for long periods of time, viewing computer monitors, and keyboarding and must be able to lift 20 pounds.
- Must pass all Federal and State background checks. Other background checks will be conducted for licenses and certifications according to company policy.
Supervision
- The Receptionist does not supervise.
- The Receptionist reports to the Operations Manager/Assigned Supervisor.
