About the role

We are seeking a highly organized and professional Receptionist / Front Desk Coordinator to manage our busy front desk area and support daily office operations.

This role is visitor-focused rather than phone-based, as our office hosts a high volume of in-person meetings, events, and guests.

This is an ideal position for someone who enjoys being the face of the company, multitasking, and keeping office operations running smoothly.

Key Responsibilities

  • Front Desk & Guest Experience:

    • Greet and welcome all visitors, clients, and partners in a professional and friendly manner;
    • Manage check-ins for meetings, interviews, and events;
    • Cook up with internal teams regarding guest arrivals;
    • Maintain a clean, organized, and presentable reception area.
  • Mail, Deliveries & Office Communication:

    • Sort and distribute incoming mail and packages;
    • Manage outgoing mail and shipping (FedEx, UPS, USPS);
    • Handle incoming faxes and ensure proper distribution;
    • Maintain internal logs for deliveries and important documents.
  • Office Operations & Supplies:

    • Place and track orders via vendors (Amazon Business, local suppliers, etc.);
    • Ensure proper inventory levels and cost-efficient purchasing;
    • Support office organization and storage systems.
  • Events & Office Support:

    • Aid with organizing company events and office activities;
    • Support HR and Operations with onboarding logistics and scheduling.
  • Administrative Support:

    • Maintain basic records, logs, and documentation;
    • Support cross-functional teams as needed.

Location and Schedule

This is a full-time, office-based position in a modern, cozy environment in our Fort Lauderdale HQ.

Our standard working hours are Monday to Friday, 9:00 AM to 6:00 PM, promoting a healthy work-life balance.

Skills & Qualifications

  • Strong communication and interpersonal skills;

  • Hightly organized with strong attention to detail;

  • Ability to multitask and prioritize in a fast-paced environment;

  • Basic proficiency with Microsoft Office / Google Workspace;

  • Experience with office tools (Amazon Business, shipping systems, etc.) is a plus;

  • Professional appearance and positive attitude;

  • Preferred: Associate's degree or 0-2 years of professional experience.
