First point of contact for guests and broad administrative/database support for the Department, Administrative Services, and ad hoc projects. Ensures an efficient and professional front desk operation.
Responsibilities
- Greet and welcome guests as soon as they arrive at the office.
- Direct visitors to the appropriate person or conference room.
- Answer, screen, and forward incoming phone calls.
- Ensure the reception area is tidy and presentable.
- Process catering requests to meet specific delivery times.
- Provide basic and accurate information in person and via phone/email.
- Receive, sort, and notify recipients of daily mail/deliveries (FedEx, UPS, USPS, DHL Ground).
- Process weekly breakroom supplies and notify facilities of arrival.
- Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges).
- Order department supplies and keep an inventory of stock.
- Update calendars, conference room schedules, schedule meetings in coordination with the admin team, and handle shuttle requests.
- Provide backup support as needed with the Admin team.
- Participate in special projects and tasks.
Requirements
- Minimum of 1 year’s experience working in an administrative role.
- Professional attitude and appearance, strong customer service skills.
- Proficient in Microsoft Office programs (Outlook, Excel, Word, Visio).
- Excellent organizational skills, including the ability to prioritize and coordinate multiple tasks.
- Excellent written and verbal communication skills, including professional phone etiquette.
- Excellent interpersonal skills with the ability to effectively interact with internal and external business partners and staff at all levels.
- Self-motivated professional with good communication and interpersonal skills.
- Able to coordinate several projects to successful completion with little or no supervision.
- Responds promptly to shifts in direction, priorities, and schedules.
- Uses sound judgment and problem resolution skills, often makes decisions in supervisor’s absence.
- Execute with a high level of confidentiality, integrity, discretion, and judgment.
- Thinks strategically and is proactive.
Pay
The typical base salary for this position is expected to be between $36,000 and $58,000 per year. The final base salary will be determined on an individual basis, taking into consideration experience, skills, knowledge, education, and/or certifications.
