About the Role

This position provides secretarial and clerical support to facilitate building operations and public relations at a high school, serving students, parents, staff, and the public. It also supports the school athletic program under the general direction of an Assistant Principal or designated administrator.

Responsibilities

  • Serves as secretary to an Assistant Principal or designated administrator; maintains appointment calendars, schedules interviews and meetings, and provides secretarial support to committees.
  • Acts as a point of contact for the school building; answers and refers inquiries from students, parents, staff, and the public; provides back-up support for main office functions; and assists in training and supervising student office assistants and parent volunteers.
  • Processes athletic packets from students, ensuring completion of release, insurance, physical examination, parent permission, and emergency forms; collects fees and fines; monitors student eligibility and notifies coaches.
  • Maintains liaison with the District Athletic Office and building coaches; prepares and updates reports required by state and federal regulations; stays current on WIAA and Metro regulations.
  • Supports building coaches with secretarial duties; orders and coordinates transportation for athletic events; monitors athletic budgets; communicates event calendars and transportation arrangements with other schools.
  • Maintains and distributes athletic event calendars, rosters, and transportation tokens/passes; notifies students, parents, and staff of events and arrangements.
  • Maintains coaches' personnel files; submits stipend forms; coordinates vacancies and applicant selection with the District Athletic Office.
  • Assists with injury reports and insurance claim forms; maintains liaison with insurance companies; monitors and reports physical limitations of athletes to coaches.
  • Inputs and retrieves student information, school and athletic schedules, and bulletins; composes, compiles, and types reports, correspondence, and memoranda.
  • Assists with recording student and staff monies, bookkeeping, student registration, and maintenance of office equipment; monitors communication devices and reports criminal activities.
  • Orients new personnel on school and district practices; issues bus tokens and cards to students.
  • May assist in administering SAP and SubFinder timekeeping systems, including reporting staff absences, substitutes, and overtime.
  • May serve as a timekeeper for coaches; provides first aid or emergency care to ill or injured students as needed; completes accident and incident reports.
  • Performs related duties consistent with the scope of the position.

Requirements

  • High school diploma or GED equivalent.
  • Two years of clerical/secretarial experience, including records maintenance and significant public contact, preferably in a school setting.
  • College or business school may substitute for up to one year of the required work experience on a month-for-month basis.
  • Valid State of Washington Driver’s License or equivalent mobility.
  • Criminal justice fingerprint and background check.

Skills

  • Basic math, including calculations using fractions, percents, and ratios.

Benefits

Seattle Public Schools benefits are administered by the Washington State Healthcare Authority (HCA) under the School Employees Benefits Board (SEBB). Eligibility for benefits is determined by the number of hours worked during the school year (September 1 through August 31). Employees scheduled to work 630 hours or more in a year are eligible for benefits.
