Your Key Responsibilities
- Provide autonomous administrative support for a dedicated team or Manager in the organization.
- Organize the office, assist to optimize procedures, sort and distribute communications (i.e. inbound/outbound correspondence, visitors, effective information flow).
- Handle administrative requests and queries, and organize/schedule appointments, plan meetings and take minutes.
- Take over time and travel management, and/or travel expenses for team members or Manager.
- Cook up with other departments, and/or maintain relationships with external parties as involved (i.e. suppliers, customers, authorities).
- Create and update records to ensure accuracy and validity of information, and assist in the preparation of qualified reports or presentations.
Your Qualifications
- Relevant educational background or vocational training in administration, office management, or a related field.
- 1 to 3 years of experience as an administrative assistant, secretary, or in a similar role.
- Strong proficiency in office software (e.g., Microsoft Office Suite: Word, Excel, PowerPoint, Outlook).
- Excellent organizational and multitasking skills, with the ability to work independently and manage time efficiently.
- Effective communication skills, both written and verbal, for handling internal and external correspondence.
- Familiarity with maintaining records and databases, ensuring accuracy and confidentiality of information.
- Good interpersonal skills to coordinate with different departments and maintain professional relationships with external partners such as suppliers, customers, and authorities.
- High level of discretion and reliability in handling sensitive information.
