About the Role

This position provides secretarial and administrative support to the assigned assistant principal or administrator. Responsibilities include communicating information to students, parents, staff, and other districts, ensuring compliance with financial, legal, and administrative requirements, and supporting a broad array of services for students, parents, instructional, and support employees.

Responsibilities

  • Compiles data from various sources (e.g., calendars, meetings) to comply with financial, legal, and administrative requirements.
  • Coordinates programs and activities (e.g., calendars, student announcements, suspensions/discipline, luncheons, emergency care cards, field trips, meetings, interviews, travel arrangements, tutors) to ensure proper notification and efficient utilization of resources.
  • Monitors assigned activities and program components (e.g., buses, athletic referrals, early dismissals, lockers, fire drills, attendance) to ensure compliance with requirements.
  • Performs record-keeping and clerical functions (e.g., scheduling, copying, faxing, mailings) to support site activities and administrative needs.
  • Processes documents, materials, and cash receipts (e.g., requisitions, schedules, purchase orders, incoming deliveries) to disseminate information and materials.
  • Responds to inquiries from internal and external parties (e.g., staff, parents, students, public agencies) to provide information, facilitate communication, or offer direction.
  • Supports the assistant principal or other school administrative personnel with administrative functions.
  • Performs related duties consistent with the scope of the position.

Qualifications

  • High school diploma or GED equivalent.
  • Two (2) years of clerical/secretarial experience, including responsibility for records maintenance and significant public contact.
  • College or business school may substitute for up to one year of the required work experience on a month-for-month basis.
  • Valid State of Washington Driver’s License or equivalent mobility.

Knowledge, Skills, and Abilities

  • Knowledge: Basic math (fractions, percentages, ratios); reading manuals; writing documents; understanding complex instructions; business telephone etiquette; grammar and punctuation.
  • Skills: Operating standard office equipment and software; planning and managing projects; preparing and maintaining accurate records.
  • Abilities:
    • Scheduling activities, meetings, or events; gathering and collating data.
    • Working independently with others in diverse circumstances; analyzing data using varied processes.
    • Communicating with diverse groups; maintaining confidentiality; meeting deadlines; setting priorities; working with frequent interruptions.
    • Establishing and maintaining effective working relationships.

Working Conditions

  • Physical demands include some lifting, carrying, pushing, pulling, and significant fine finger dexterity.
  • Typically requires 70% sitting, 10% walking, and 20% standing.
  • Performed in a generally hazard-free environment.
  • Responsibilities include working under limited supervision, providing information or advising others, and operating within a defined budget.

Benefits

Eligibility for benefits is determined by the number of hours worked during the school year (September 1 through August 31). Employees scheduled to work 630 hours or more in a year are eligible for benefits through the Washington State Healthcare Authority (HCA) under the School Employees Benefits Board (SEBB).
