Pump Repair Shop Coordinator

Responsibilities

  • Own the Pump Repair Status & Workflow

  • Maintain the Pump Status Report (updated daily) with current step, dates, and risk items (quote status, PO received, customer-supplied parts, workflow milestones, etc.).

  • Stay involved in the full lifecycle of each pump repair—walk the floor, confirm movement and progress, and gather information directly.

  • Track customer-supplied parts/materials and continuously update expected dates.

  • Proactively alert supervisors and sales when timelines are at risk.

  • Purchasing & Materials Support

  • Purchase raw materials and services for work orders: gather quotes, create requisitions for approval, issue purchase orders, and track delivery dates.

  • Run and manage Open PO reports, follow up with vendors, and ensure timely updates in Avante and the Pump Status Report.

  • Monitor inventory and act as a point-of-contact for shop/field service supply needs.

  • Support outside-sourced product (OSP) quotes for pump repairs and miscellaneous items.

  • Manage p-card activity, logs, and monthly expense reporting.

  • Shipping, Receiving & Logistics

  • Receive orders in Avante and log documents electronically.

  • Create and steward memo tickets.

  • Create and manage PODs/BOL documentation; process and file once received.

  • Operate forklift and overhead crane for loading/unloading (as trained/certified).

  • Traveler Packets & Documentation

  • Prepare traveler packets for shop distribution.

  • Receive and process completed travelers/job packs.

  • Maintain organized files related to repairs and purchases.

  • Production Meeting Support

  • Prepare production reporting and update Avante production notes for assigned work orders (by end of day Friday).

  • Attend weekly production meetings, capture minutes, and coordinate foundry updates with the Foundry Manager.

  • Adjust “will ship” dates based on progress and communicate changes.

  • Support Work Scope Development (Growth Path)

  • Document “as found” conditions and repair needs using technical writing.

  • Review drawings/specifications to obtain OSP pricing for RFQs.

  • Document repair approach, required parts/services, and pricing/time inputs.

  • Support the supervisor with RFQ action items needed by Estimating.

  • Pump Repair Data Book Ownership

  • Build the final pump repair data book at completion: collect documentation (work scope, PMI, correspondence, photos), obtain signatures after inspections, and prepare for delivery.

  • Additional Operational Support

  • Manage calibration control (schedule inspections and post certifications).

  • Track building/vehicle maintenance and machine repair logs.

  • Maintain job status boards/racked job boards throughout the shop.

  • Serve as backup for other coordinators/sites as needed.

  • Perform other duties as assigned.

Requirements

  • Education/Experience (one Of The Following)

  • Bachelor’s degree in Engineering + 1–2 years industrial equipment experience, OR

  • Associate’s degree in Engineering + 4–6 years industrial equipment experience, OR

  • High school diploma + 6+ years relevant experience (considered in lieu of degree)

Skills & Attributes

  • Strong mechanical aptitude and comfort in an industrial shop environment

  • Proficiency with Microsoft Office (Excel, Word, PowerPoint)

  • Ability to multitask, prioritize, and follow through in a fast-paced operation

  • Strong communication skills and teamwork mindset

  • Working knowledge of manufacturing processes is a plus

  • Self-starter who takes initiative, anticipates needs, and exercises sound judgment

  • Willingness to travel up to 25%

Physical/Work Environment

Regular work on the shop floor around moving equipment and industrial operations
Occasional lifting, climbing, and operation of material handling equipment (with training)
